Without filters you will get all service orders. Then click this symbol to export\/download a list of service orders (xlsx file or csv file depending on your <a class=\"heroickb_exit_link\" href=\"?hkb-redirect&#038;nonce=4d56f40833&#038;check=6tm7k&#038;redirect=https%3A%2F%2Fsupport.serviceprotokoll.se%2Fen%2Fkb%2Fgroup-settings-module-settings%2F&#038;otype=unknown&#038;oid=0&#038;source=block-content\">Group settings<\/a>).<\/p>\n\n<h4 class=\"wp-block-heading\">Print service order<\/h4>\n\n<figure class=\"wp-block-image size-full\"><img decoding=\"async\" src=\"https:\/\/support.serviceprotokoll.se\/wp-content\/uploads\/2023\/03\/Symbol_sammanstallning_lista75q.png\" alt=\"Collection function\" class=\"wp-image-9359\"\/><\/figure>\n\n<p>Filter out which orders you want to print by searching, sorting or clicking in the filter settings. Then click on this symbol. Here you can then either select all by clicking in the top box or filter further by clicking on a customer, a name, status etc. <a class=\"heroickb_exit_link\" href=\"?hkb-redirect&#038;nonce=4d56f40833&#038;check=3earh&#038;redirect=https%3A%2F%2Fsupport.serviceprotokoll.se%2Fknowledge-base%2Fsamlingsfunktion%2F&#038;otype=unknown&#038;oid=0&#038;source=block-content\" data-type=\"ht_kb\" data-id=\"10564\">Learn more about the collection function.<\/a><\/p>\n\n<p>The Print button creates a PDF with all selected service orders.<\/p>\n\n<p>If you only want to print one (1) order, open the order and click Print at the bottom.<\/p>\n\n<h4 class=\"wp-block-heading\">Create a service order<\/h4>\n\n<p>There are several ways to create a service order.<\/p>\n\n<ol class=\"wp-block-list\">\n<li>When you add a new service object, service orders can be created automatically at the interval(s) you specified in the service object settings.<br\/><br\/>Learn more about <a href=\"https:\/\/support.serviceprotokoll.se\/knowledge-base\/lagga-till-ett-serviceobjekt\/\" data-type=\"ht_kb\" data-id=\"9551\">adding service objects<\/a>.<\/li>\n\n\n\n<li>On a service object record. Scroll down to the bottom and click <em>Add<\/em>. There you can select <em>Add a new service order.<\/em><\/li>\n\n\n\n<li>Add a service order by clicking the plus sign under Perform \u2013 Service Order. Note that this does not create a recurring service interval on the object. See point 1.<\/li>\n\n\n\n<li>If there is a service plan on a service object that does not have a next service, you can find it by filtering \u201cWithout next service\u201d in Search. Open the service object. At the bottom, you will find the <em>Generate Service<\/em> button, which will create a service order. Do you have many such objects? Use <em><a href=\"https:\/\/support.serviceprotokoll.se\/knowledge-base\/samlingsfunktion\/\" data-type=\"ht_kb\" data-id=\"10564\">the Collection function!<\/a><\/em><\/li>\n\n\n\n<li>In the Planner. <a href=\"\/planeraren-resurs-och-uthyrning\/#lagg-till-en-ny-arbetsorder-serviceorder-eller-kontaktorder\">Learn more here.<\/a><\/li>\n<\/ol>\n\n<h3 class=\"wp-block-heading\">Here we go through the different fields in a new service order.<\/h3>\n\n<h5 class=\"wp-block-heading\"><strong>SUBGROUPS<\/strong><\/h5>\n\n<p>If your group\/company has created Subgroups, you will see these at the top and can choose which subgroup the order should be created for. Subgroups are created by an administrator. See <a class=\"heroickb_exit_link\" href=\"?hkb-redirect&#038;nonce=4d56f40833&#038;check=dgo7v&#038;redirect=https%3A%2F%2Fsupport.serviceprotokoll.se%2Fknowledge-base%2Fgrupp-och-modulinstallningar%2F%23gruppinstall&#038;otype=unknown&#038;oid=0&#038;source=block-content\" data-type=\"URL\" data-id=\"?hkb-redirect&#038;nonce=4d56f40833&#038;check=dgo7v&#038;redirect=https%3A%2F%2Fsupport.serviceprotokoll.se%2Fknowledge-base%2Fgrupp-och-modulinstallningar%2F%23gruppinstall&#038;otype=unknown&#038;oid=0&#038;source=block-content\">Group settings \u2013 Modul settings\u2013 Edit group settings.<\/a><\/p>\n\n<h5 class=\"wp-block-heading\"><strong>SELECT CUSTOMER<\/strong><\/h5>\n\n<p>Required field.<br\/>Type the customer&#8217;s name in the box or click the magnifying glass in the search box to search more precisely. Great if you have many customers with the same name!<\/p>\n\n<p>The search function helps you find <strong>existing customers<\/strong>.<br\/>If the customer is not in the list, enter the customer&#8217;s name and the customer will be automatically added to the <em>Customer Register.<\/em><\/p>\n\n<p>If there are pre-selected service articles linked to the customer, these will be loaded into the order automatically.<\/p>\n\n<p>TIP: You can also go to the <em>Customer Register<\/em> to create an order for the customer. Click on the Customer and then on <em>Add.<\/em>.. at the bottom of the Customer page.<\/p>\n\n<figure class=\"wp-block-image size-full\"><img decoding=\"async\" src=\"https:\/\/support.serviceprotokoll.se\/wp-content\/uploads\/2025\/04\/PS_EN_Add_list-6.png\" alt=\"\" class=\"wp-image-9454\"\/><figcaption class=\"wp-element-caption\">Here you will see all the functions under Add in the Customer Register.<\/figcaption><\/figure>\n\n<h5 class=\"wp-block-heading\"><strong>FACILITY<\/strong><\/h5>\n\n<figure class=\"wp-block-image size-full\"><img decoding=\"async\" src=\"https:\/\/support.serviceprotokoll.se\/wp-content\/uploads\/2025\/04\/PS_EN_SO_add_facility.png\" alt=\"\" class=\"wp-image-9456\"\/><figcaption class=\"wp-element-caption\">If a facility is missing from the customer, click + Create facility and fill in the information you have. You can then supplement the information by searching for the facility in the Facility Register.<\/figcaption><\/figure>\n\n<p>Place the cursor in the field and all facilities linked to the customer will be listed.<\/p>\n\n<p>If the facility is not in the list, click on +Create facility and a box will open where you can fill in the information. Click on <strong>Add<\/strong> when you are finished.<\/p>\n\n<p>If you want to enter more information about the facility, click the More button and the facility will open in your Facility Register in a new tab in your browser. Fill in and save the information.<\/p>\n\n<p class=\"wp-block-ht-blocks-messages wp-block-hb-message wp-block-hb-message--withicon is-style-alert\">NOTE! Have you already added service objects to the order? Then you need to decide whether you want to move all service objects to the new facility. If not, all service objects will be cleared from the order.<\/p>\n\n<p>If the billing address differs from the service object&#8217;s address, a facility must always be selected or added.<\/p>\n\n<p>If there are service points on the site, these will be displayed on the order. If there are articles on the facility, you will be asked whether to add these to the order.<\/p>\n\n<h5 class=\"wp-block-heading\">Invoiced other customer<\/h5>\n\n<p>Here you specify the customer to be invoiced if it is different from the customer listed on the order.<\/p>\n\n<p>If you add an order to a <strong>facility<\/strong> that is <em>invoiced to another customer,<\/em> that customer will automatically be included in the order. If the <strong>service object<\/strong> has a different <em>invoiced to another customer<\/em> set &#8211; this customer will be selected instead of the facility&#8217;s.<\/p>\n\n<p>To make &#8220;invoiced to another customer&#8221; appear you need to select that in the <em>Group settings<\/em>. <a class=\"heroickb_exit_link\" href=\"?hkb-redirect&#038;nonce=4d56f40833&#038;check=29j6u&#038;redirect=https%3A%2F%2Fsupport.serviceprotokoll.se%2Fen%2Fkb%2Finvoiced-to%2F&#038;otype=unknown&#038;oid=0&#038;source=block-content\" data-type=\"ht_kb\" data-id=\"19290\">Learn how here.<\/a><\/p>\n\n<h5 class=\"wp-block-heading\">Order type<\/h5>\n\n<p>Select order type. If you have not entered any order types, the field will not be displayed.<\/p>\n\n<p><a href=\"#ordertypen\" data-type=\"internal\" data-id=\"#ordertypen\">Learn how to add order types here<\/a>.<\/p>\n\n<h5 class=\"wp-block-heading\"><strong>Customer order number<\/strong><\/h5>\n\n<p>Fill in if necessary. If you have the customer&#8217;s order number specified at the facility or the customer, the order number will be retrieved from there.<\/p>\n\n<h5 class=\"wp-block-heading\"><strong>Status<\/strong><\/h5>\n\n<p>The status function helps you quickly keep track of what is happening with the different orders.<\/p>\n\n<figure class=\"wp-block-image size-full\"><img decoding=\"async\" src=\"https:\/\/support.serviceprotokoll.se\/wp-content\/uploads\/2025\/04\/PS_EN_SO_choose_ordertype.png\" alt=\"\" class=\"wp-image-22256\"\/><\/figure>\n\n<p>Depending on what you have selected, you can see:<\/p>\n\n<ul class=\"wp-block-list\">\n<li>the systems field Status<\/li>\n\n\n\n<li>system Status and CUSTOM STATUS<\/li>\n\n\n\n<li>only CUSTOM STATUS<\/li>\n<\/ul>\n\n<h6 class=\"wp-block-heading\">System status<\/h6>\n\n<p>You will only see the system status bar after you have saved your service order.<\/p>\n\n<p><strong>Choose between:<\/strong><\/p>\n\n<ul class=\"wp-block-list\">\n<li>Not handled<\/li>\n\n\n\n<li>Waiting for delivery<\/li>\n\n\n\n<li>Ready for service<\/li>\n\n\n\n<li>Free text field<\/li>\n<\/ul>\n\n<p><strong>TIP<\/strong>: Using the search function (blue button with the check mark) at the top under Service Orders, you can quickly sort\/filter the orders based on status.<\/p>\n\n<h6 class=\"wp-block-heading\">Waiting for delivery<\/h6>\n\n<p>You use this status if parts need to be ordered for the order. Extra fields open on Parts (under the Service object) where you can specify whether the parts are ordered etc. and delivery date if any. When you save the order, a message is sent to the email address you have set under Service order settings for this.<\/p>\n\n<h5 class=\"wp-block-heading\">CUSTOM STATUS<\/h5>\n\n<p>Select among your own custom statuses from the drop-down list.<\/p>\n\n<p><a class=\"heroickb_exit_link\" href=\"?hkb-redirect&#038;nonce=4d56f40833&#038;check=3kct9&#038;redirect=https%3A%2F%2Fsupport.serviceprotokoll.se%2Fen%2Fkb%2Fstatus%2F%23custom-status&#038;otype=unknown&#038;oid=0&#038;source=block-content\">Learn how to set your own custom status suggestions.<\/a><\/p>\n\n<h5 class=\"wp-block-heading\"><strong>Planned<\/strong><\/h5>\n\n<p>Required field.<br\/><strong>Service order setting that affects:<\/strong> Update planned date on booking.<\/p>\n\n<p>The date for when a service should be performed is <strong>automatically<\/strong> calculated by the system <strong>when<\/strong> you choose to generate a service, as well as when you perform a service and a service protocol has been created.<\/p>\n\n<p>However, the date can be changed manually. When the date is changed, the system will check if the service is close in time to other service events at the same facility and can thus merge services that fall close together.<\/p>\n\n<p>This is called <em>the\u00a0service collision interval<\/em>\u00a0and helps you organize service efficiently.<\/p>\n\n<figure class=\"wp-block-image size-full is-resized\"><img decoding=\"async\" src=\"https:\/\/support.serviceprotokoll.se\/wp-content\/uploads\/2025\/04\/PS_EN_SO_merge_service_popup-1.png\" alt=\"Merge services\" class=\"wp-image-9459\" style=\"width:384px;height:237px\"\/><\/figure>\n\n<p>If you change the value (number of days), services that have already been generated will not be affected, but only new and changed (e.g. planned date) services will be merged. You will get this popup asking if you want to merge these services. If you answer no, each service will still be a separate order. If you answer yes, the service object will be merged into one order.<\/p>\n\n<h5 class=\"wp-block-heading\"><strong>Contact information<\/strong><\/h5>\n\n<p>Place the cursor in the field and all contact information entered on the Facility will be listed. Select the appropriate contact and the information will be filled in automatically.<\/p>\n\n<p>If contact information is missing, fill in the information. The contact will also be automatically added to the facility in the <em>Facility Register.<\/em><\/p>\n\n<h5 class=\"wp-block-heading\"><strong>Object<\/strong><\/h5>\n\n<p>The system lists all objects from the selected FACILITY when you clicked on <em>+ Add a service object<\/em> and placed the cursor in the &#8220;Select a service object&#8221; field. If you have not selected a facility, the service order will be created directly under the customer and you cannot use <em>the service collision interval function<\/em>. The <a class=\"heroickb_exit_link\" href=\"?hkb-redirect&#038;nonce=4d56f40833&#038;check=3ahsp&#038;redirect=https%3A%2F%2Fsupport.serviceprotokoll.se%2Fen%2Fkb%2Fservice-collision-time-span%2F&#038;otype=unknown&#038;oid=0&#038;source=block-content\">service collision interval<\/a> setting is made on the Facility.<\/p>\n\n<p>You can also start by adding a service object. The system will then automatically retrieve information about the customer and any facility.<\/p>\n\n<p>When you have selected an object, all Service components associated with that object are retrieved. If you want to add more service components, click <em>+ Add service components.<\/em><\/p>\n\n<h6 class=\"wp-block-heading\"><strong>The same service object again?<\/strong><\/h6>\n\n<p>If you need to add the same service object again, you will find these at the bottom of the list of service objects with the information that the object has already been added.<\/p>\n\n<figure class=\"wp-block-image size-full\"><img decoding=\"async\" src=\"https:\/\/support.serviceprotokoll.se\/wp-content\/uploads\/2026\/02\/PS_SO_add_already_added_object.png\" alt=\"\" class=\"wp-image-26814\"\/><\/figure>\n\n<h6 class=\"wp-block-heading\"><strong>Change info?<\/strong><\/h6>\n\n<p>If you need to change the information about the service object, click on the pencil to the right of the object name. A popup will open where you can make your changes. You can also upload images and documents here.<\/p>\n\n<h6 class=\"wp-block-heading\"><strong>Create a new service object?<\/strong><\/h6>\n\n<p>When you create a new service order, you can add a new service object directly and specify service intervals, service components and parts at the same time. The information you add will be added to the service object record. You have fewer options when creating intervals and cannot set time required to perform, order type or specify that the service object is run-time based. But you can of course add this information later.<\/p>\n\n<p>To be able to create a service object, you need to have the permssion to <strong>Edit<\/strong> Service Objects.<\/p>\n\n<p><strong>If you choose a model<\/strong><\/p>\n\n<p>If you have selected a model for the object and the model has service intervals and parts, the system will retrieve that information. To see this information, you first need to save the service order. When you then click <strong>Edit<\/strong>, the information is there and you can choose which service should be performed.<\/p>\n\n<p><strong>If you don&#8217;t choose a model<\/strong><\/p>\n\n<ol class=\"wp-block-list\">\n<li>Click on <strong>+ Add service object.<\/strong><\/li>\n\n\n\n<li>Click on <strong>+ Create service objekt<\/strong>. (see image below)<\/li>\n\n\n\n<li>Enter information about the object.<\/li>\n\n\n\n<li>Click on <strong>Save.<\/strong><\/li>\n\n\n\n<li>Now the SERVICE INTERVAL field will say &#8220;No service intervals exists for this object&#8221;. Click <strong>+ Add service interval<\/strong>. A field will open where you enter the number of days for the interval. The service interval name will be the number of days. (see image below)<\/li>\n\n\n\n<li>Select a template with service points.<\/li>\n\n\n\n<li>If the service object is to contain parts for the interval, fill these in.<\/li>\n\n\n\n<li>Click on <strong>Save<\/strong><\/li>\n<\/ol>\n\n<figure class=\"wp-block-image size-full\"><img decoding=\"async\" src=\"https:\/\/support.serviceprotokoll.se\/wp-content\/uploads\/2026\/03\/PS_EN_SO_create_new_object.png\" alt=\"\" class=\"wp-image-27622\"\/><figcaption class=\"wp-element-caption\">Step 2: To add a service object that is not already in your service object register, click +Create service object.<\/figcaption><\/figure>\n\n<figure class=\"wp-block-image size-full\"><img decoding=\"async\" src=\"https:\/\/support.serviceprotokoll.se\/wp-content\/uploads\/2026\/03\/PS_EN_create_object_set_interval.png\" alt=\"\" class=\"wp-image-27624\"\/><figcaption class=\"wp-element-caption\">Step 5: Add a service interval.<\/figcaption><\/figure>\n\n<p><strong>Change object?<\/strong><\/p>\n\n<p>Have you accidentally added the wrong object but all other information is correct?<\/p>\n\n<p>Do this:<\/p>\n\n<ol class=\"wp-block-list\">\n<li>Place the cursor in the field for the service object.<\/li>\n\n\n\n<li>To remove the object, click X.<\/li>\n\n\n\n<li>Then select an object. The system asks which one before you can add the template.<\/p>\n\n\n\n<p id=\"mall\"><em>Add <\/em>&#8211; all service components are kept, the existing ones and the ones you have selected now.<br\/><em>Replace<\/em> &#8211; the existing service components are removed and only the newly selected ones are kept.<\/p>\n<\/div>\n<\/div>\n\n<h5 class=\"wp-block-heading\"><strong>Service components <\/strong>and their status<\/h5>\n\n<p>If you need to add a service point, click on <em>+Add service component.<\/em><br\/>You can choose from these:<\/p>\n\n<p>\u2013 Measurement<br\/>\u2013 Yes\/No<br\/>\u2013 Has Status<br\/>\u2013 Header<br\/>\u2013 Free text<br\/>\u2013 Require image to be added to the point<\/p>\n\n<p>What you choose determines how the service components appear in the protocol. If you select it, the service point will be closed, but you can always go back to it and it will remain for the next service.<\/p>\n\n<p>You use the trash can to completely remove the service point. If you don&#8217;t see the trash can, you don&#8217;t have the permission to remove service components.<\/p>\n\n<p>When you then perform the service order, by clicking<em> Add Image<\/em> you can take a photo or select a photo from your mobile or computer and upload it directly to the service component. The photo can be changed or removed.<\/p>\n\n<p>All users have the permission to upload images here, so no permissions settings are required.<\/p>\n\n<h5 class=\"wp-block-heading\"><strong>Comments<\/strong><\/h5>\n\n<p>If there is a comment on the previous service order, it is automatically transferred and displayed here. This applies to both comments for service components and comments on the object.<\/p>\n\n<h5 class=\"wp-block-heading\"><strong>Other material <\/strong>and Other time<\/h5>\n\n<p><strong>Service order setting<\/strong> that provides a field for Other materials: <em>Show Other articles<\/em><br\/><strong>Article setting<\/strong>\u00a0that provides a separate field for time: <em>Separate time report articles<\/em><\/p>\n\n<p>Here you add needs for other materials. You can search by article number, description and last used articles. The resource\u2019s working hours will be filled in automatically \u2013 if you have set these for the user\u2019s <a class=\"heroickb_exit_link\" href=\"?hkb-redirect&#038;nonce=4d56f40833&#038;check=djnna&#038;redirect=https%3A%2F%2Fsupport.serviceprotokoll.se%2Fen%2Fkb%2Fuser-settings%2F&#038;otype=unknown&#038;oid=0&#038;source=block-content\">User Settings.<\/a><\/p>\n\n<p>If multiple resources are to be booked on the same order, click +Add a booking again. The first booking is copied. Select another resource. The times and all booking details are copied.<\/p>\n\n<figure class=\"wp-block-image size-full\"><img decoding=\"async\" src=\"https:\/\/support.serviceprotokoll.se\/wp-content\/uploads\/2026\/04\/Copying_booking.png\" alt=\"\" class=\"wp-image-27764\"\/><\/figure>\n\n<p>A warning triangle appears if you try to book a resource that is already booked on another order.<\/p>\n\n<figure class=\"wp-block-image size-full\"><img decoding=\"async\" src=\"https:\/\/support.serviceprotokoll.se\/wp-content\/uploads\/2026\/04\/PS_EN_handle_booking_warning.png\" alt=\"\" class=\"wp-image-22375\"\/><\/figure>\n\n<p>When you save a booking, you will be asked if you want to send a booking confirmation to the contact person for the order, the same applies when you change a booking. The date when the booking confirmation was sent is displayed in the order and if the booking was changed after the confirmation was sent.<\/p>\n\n<p>The booking confirmation contains the name of the booked technician, the date and the order number. If the contact person for the order is a customer user, there is also a link to the order. The comments can be changed or deleted, set to displayed to the customer or only internally. If you have a cost center at the customer or facility, the cost center will be automatically retrieved from there.<\/p>\n\n<h5 class=\"wp-block-heading\"><strong>Save<\/strong><\/h5>\n\n<p>Click Save. The service order is created and given a serial number. Until the service has started, you can click<em> Edit<\/em> and fill in or delete information.<\/p>\n\n<p>Once you have saved, you can:<\/p>\n\n<ul class=\"wp-block-list\">\n<li>Assign the service order to a technician\/resource.<\/li>\n\n\n\n<li>Perform service.<\/li>\n<\/ul>\n\n<p>If a service has started, it says <strong>Continue<\/strong> at the bottom. At this point, you can no longer change the service order. However, if you delete the protocol, you can change and perform the service order again.<\/p>\n\n<p class=\"wp-block-ht-blocks-messages wp-block-hb-message wp-block-hb-message--withicon is-style-info\">EXCEPTION: If you have admin permissions, you can change certain fields such as contact person and custom fields. If you have the permission, you will see an * next to the Edit button. The changes will also be added to the service report.<\/p>\n\n<figure class=\"wp-block-image size-full\"><img decoding=\"async\" src=\"https:\/\/support.serviceprotokoll.se\/wp-content\/uploads\/2026\/03\/PS_EN_SO_edit_with_asterisk.png\" alt=\"\" class=\"wp-image-27070\"\/><figcaption class=\"wp-element-caption\">An * means that you can change certain parts of the service order.<\/figcaption><\/figure>\n\n<h4 class=\"wp-block-heading\">Create quote from service order<\/h4>\n\n<p>Once you have saved a service order, you can choose to create a quote. Here you enter the email address(es) of the person who will receive information about which articles to order. The email is sent automatically when an order is saved.<\/li>\n\n\n\n<li>Show custom info (about the service object in the service order.) <\/li>\n\n\n\n<li>Show service interval name (in the\u00a0list of service orders on the customer record.)<\/li>\n\n\n\n<li>Show comment section from last service<\/li>\n\n\n\n<li>Show invoiced to (when invoiced to another customer)<\/li>\n\n\n\n<li>Show &#8220;other&#8221; articles<br\/>Note: you can also select this on Service protocol settings.<\/li>\n\n\n\n<li>Update planned date when booking.<br\/>If you add a booking, the planned date changes to the booking date.<\/li>\n\n\n\n<li>Show status<br\/>The default setting is that this is checked and that the Status options are displayed on the order. See image below. If you prefer to use Custom statuses entirely, you can uncheck this.<\/li>\n\n\n\n<li>Auto-direct protocol.<br\/>With this setting, the protocol opens directly instead of the order when you click on an order.
