Select all articles (top box) or select which articles you want to inventory. You can filter your list by selecting storage, set date or make a search.<\/p>\n\n<p><strong>Option 2.<\/strong> Go to the <strong>Stocktaking<\/strong> tab and click the <strong>+<\/strong> <em>sign. If you want to undo a deletion, click on the &#8220;spin arrow&#8221; at the bottom left and the article will be added again!<\/p>\n\n<figure class=\"wp-block-image size-full\"><img decoding=\"async\" src=\"https:\/\/support.serviceprotokoll.se\/wp-content\/uploads\/2025\/05\/PS_EN_storage_list_of_stocktakings.png\" alt=\"\" class=\"wp-image-22749\"\/><figcaption class=\"wp-element-caption\">Image 12: List of stocktakings<\/figcaption><\/figure>\n\n<p>Stocktakings you have made can be found under <strong>Stocktakings<\/strong> with status:<br\/><em>In draft <\/em>(not started).<br\/><em>In progress<\/em> (started but not completed).<br\/><em>Done<\/em> (signed and ready).<\/p>\n\n<h4 class=\"wp-block-heading\">How to make an inventory<\/h4>\n\n<figure class=\"wp-block-image size-full\"><img decoding=\"async\" src=\"https:\/\/support.serviceprotokoll.se\/wp-content\/uploads\/2025\/05\/PS_EN_stocktaking.png\" alt=\"\" class=\"wp-image-11687\"\/><figcaption class=\"wp-element-caption\">Ongoing inventory where you see both the already inventoried and the items to be inventoried (remaining). Here you fill in the quantity.<\/figcaption><\/figure>\n\n<ol class=\"wp-block-list\">\n<li>Click on <em>Inventory<\/em> at the far right of an article. A popup will open where you fill in the quantity and then click on Save.<\/li>\n\n\n\n<li>If there is a <strong>deviation,<\/strong> this can be seen in the list. To handle the deviation, click on <strong>Handle <\/strong>to the right of the article. If there is a discrepancy, this will be visible in the list. To manage the discrepancy, click Manage to the right of the article. A popup will open where you can correct the discrepancy or select Delete. Delete means that you remove the inventory on the article.<\/li>\n\n\n\n<li>If you need to change the inventory, click on the pen symbol.<\/li>\n\n\n\n<li>Is an article missing from the list? Click on <em>Stock take manually<\/em> and you can add it from the article register.<\/li>\n\n\n\n<li>If you now have a list of articles that are not in stock, you can quickly \u201czero\u201d these by clicking on the <em>Set remaining to zero<\/em> link.<\/li>\n\n\n\n<li>When all articles are inventoried, you <strong>sign<\/strong> the inventory and it is set to Done.<\/li>\n<\/ol>\n\n<figure class=\"wp-block-image size-full\"><img decoding=\"async\" src=\"https:\/\/support.serviceprotokoll.se\/wp-content\/uploads\/2025\/05\/PS_EN_takestock_handle_diff.png\" alt=\"\" class=\"wp-image-10511\"\/><figcaption class=\"wp-element-caption\">Image 14: Handle deviations.<\/figcaption><\/figure>\n\n<p><strong>Alt 2:<\/strong><\/p>\n\n<p>Use a hand scanner (with Bluetooth connection to computer\/mobile) and scan the barcode on the article. A new box will open in the system where you can fill in the quantity. See image 13.<br\/>Otherwise, the steps are the same as in Option 1.<\/p>\n\n<h4 class=\"wp-block-heading\" id=\"signera\"><strong>Sign<\/strong><\/h4>\n\n<p>When all articles are inventoried, you sign the stocktaking. Each deviation is signed separately when you handle the deviation. The amount is updated and the inventory is set to Done. <\/p>\n\n<h4 class=\"wp-block-heading\">Any diviations?<\/h4>\n\n<p>If you did not handle the discrepancies during the inventory, you can create an incoming or outgoing delivery after signing by clicking the links for <em>Inbound delivery<\/em> or <em>Outbound delivery<\/em>. If there are no discrepancies, you will not see these links.<\/p>\n\n<figure class=\"wp-block-image size-full\"><img decoding=\"async\" src=\"https:\/\/support.serviceprotokoll.se\/wp-content\/uploads\/2025\/05\/PS_EN_storage_handle_diff.png\" alt=\"\" class=\"wp-image-16808\"\/><figcaption class=\"wp-element-caption\">If you have any discrepancies, you can adjust these by clicking on Receipt and\/or Delivery.<\/figcaption><\/figure>\n\n<h4 class=\"wp-block-heading\">Stocktaking \u2013 individual article<\/h4>\n\n<p>If you want to make a stocktaking of<strong> individual articles,<\/strong> click on the gear to the right of the article in the <strong>Storage Items<\/strong> tab.The idea here is that you should be able to take an ongoing inventory. When it is then time to inventory an entire storage, these goods will be marked with latest inventoried date and you will not have to inventory them again.<\/p>\n\n<figure class=\"wp-block-image size-full\"><img decoding=\"async\" src=\"https:\/\/support.serviceprotokoll.se\/wp-content\/uploads\/2025\/05\/PS_EN_storage_items_list.png\" alt=\"\" class=\"wp-image-22681\"\/><figcaption class=\"wp-element-caption\">Bild 9: Lista \u00f6ver lagervaror. So you still have to follow these steps:<\/p>\n\n<p>Find the items by, for example, searching by date or choosing to display the category (header) <em>Latest stocktaking<\/em>\u00a0and sort or search in it.<br\/>Then click on the <strong>Collection function<\/strong>.<\/p>\n\n<figure class=\"wp-block-image size-full\"><img decoding=\"async\" src=\"https:\/\/support.serviceprotokoll.se\/wp-content\/uploads\/2025\/08\/PS_Storage_search_latest_stocktaking.png\" alt=\"\" class=\"wp-image-24016\"\/><\/figure>\n\n<p>Mark the items that are already inventoried and that you will sign.<\/p>\n\n<p>Click on <strong>Create stocktaking.<\/strong><\/p>\n\n<figure class=\"wp-block-image size-full\"><img decoding=\"async\" src=\"https:\/\/support.serviceprotokoll.se\/wp-content\/uploads\/2025\/08\/PS_Storage_create_stocktaking_2.png\" alt=\"\" class=\"wp-image-24018\"\/><\/figure>\n\n<p>The inventory will now open in a new tab (Inventory). Check and change the date range for the stocktaking, if applicable. You can also write a comment about the stocktaking. Click <strong>Save<\/strong>.<\/p>\n\n<figure class=\"wp-block-image size-full\"><img decoding=\"async\" src=\"https:\/\/support.serviceprotokoll.se\/wp-content\/uploads\/2025\/08\/PS_EN_storage_planning_inventory.png\" alt=\"\" class=\"wp-image-24024\"\/><\/figure>\n\n<p>Click on <strong>Start stocktaking.<\/strong><\/p>\n\n<figure class=\"wp-block-image size-full\"><img decoding=\"async\" src=\"https:\/\/support.serviceprotokoll.se\/wp-content\/uploads\/2025\/08\/PS_EN_storage_start_inventory.png\" alt=\"\" class=\"wp-image-24020\"\/><\/figure>\n\n<p>You do not need to click <em>Handle<\/em> on the already inventoried items.<\/p>\n\n<p>Click on <strong>Sign<\/strong>.<\/p>\n\n<figure class=\"wp-block-image size-full\"><img decoding=\"async\" src=\"https:\/\/support.serviceprotokoll.se\/wp-content\/uploads\/2025\/08\/PS_EN_storage_inventory_sign.png\" alt=\"\" class=\"wp-image-24022\"\/><\/figure>\n\n<p>The stock balance is now updated according to your inventory.<\/p>\n\n<h4 class=\"wp-block-heading\"><h4>Storage value<\/h4><\/h4>\n\n<p>When you have made an inventory and signed it, a storage value is automatically created. You get storage value for all your storages.
