{"id":29173,"date":"2026-07-29T18:24:25","date_gmt":"2026-07-29T16:24:25","guid":{"rendered":"https:\/\/support.serviceprotokoll.se\/?post_type=ht_kb&#038;p=29173"},"modified":"2026-07-29T18:42:20","modified_gmt":"2026-07-29T16:42:20","slug":"email-and-text-messages-ny","status":"publish","type":"ht_kb","link":"https:\/\/support.serviceprotokoll.se\/en\/kb\/email-and-text-messages-ny\/","title":{"rendered":"Email and text messages"},"content":{"rendered":"\n<p class=\"wp-block-paragraph\">Serviceprotocol.com contains several ways to send messages to customers \u2013 booking confirmation, order confirmation, protocol, messages to and from customers directly in an order, etc. as well as messages within your group.<\/p>\n\n<p class=\"wp-block-paragraph\">First we present e-mail functions <strong>to<\/strong> your customers, the more <a class=\"heroickb_exit_link\" href=\"?hkb-redirect&#038;nonce=10d9edb718&#038;check=25drm&#038;redirect=https%3A%2F%2Fsupport.serviceprotokoll.se%2Fen%2Fkb%2Femail-and-text-messages%2F%23interna&#038;otype=unknown&#038;oid=0&#038;source=block-content\">internal e-mails and notifications.<\/a><\/p>\n\n<h3 class=\"wp-block-heading\">General information<\/h3>\n\n<h4 class=\"wp-block-heading\">How do I know if I sent it?<\/h4>\n\n<p class=\"wp-block-paragraph\">Information about<strong>\u00a0when<\/strong>,\u00a0<strong>to whom<\/strong>\u00a0and\u00a0<strong>who sent the message<\/strong> is displayed at the top (E-mail sent:) of the detail view of a Quote, Work Order or Service Protocol.<\/p>\n\n<p class=\"wp-block-paragraph\">f a <strong>change<\/strong> has been made to the order, the information about the sent e-mail or booking will be <strong>highlighted in red<\/strong>. Consider sending an email with the updated order.<\/p>\n\n<h4 class=\"wp-block-heading\">Change to your logo in emails<\/h4>\n\n<p class=\"wp-block-paragraph\">Replace the service protocol logo with your company logo in all e-mails. The logo that is sent is the one you uploaded in <em>Group settings.<\/em><\/p>\n\n<p class=\"wp-block-paragraph\">Admin permissions are required.<\/p>\n\n<p class=\"wp-block-paragraph\">Do this:<\/p>\n\n<ol class=\"wp-block-list\">\n<li>Go to <em>Group settings<\/em><\/li>\n\n\n\n<li>Click <em>Email settings<\/em><\/li>\n\n\n\n<li>Mark \u201cShow group logo\u201d<\/li>\n\n\n\n<li>Save<\/li>\n<\/ol>\n\n<h4 class=\"wp-block-heading\">Reply to &#8230;<\/h4>\n\n<p class=\"wp-block-paragraph\">The message comes from a &#8220;noreply&#8221; address, but the email address (username) of the person who sent the protocol, confirmation or message is also included. The recipient can always reply to the email and it will then go to the person who sent the message.<\/p>\n\n<h5 class=\"wp-block-heading\">Regarding SMS (text messages)<\/h5>\n\n<p class=\"wp-block-paragraph\">The text message sending service is only available for users in Sweden and not included in our standard license or Demo accounts and is charged extra per SMS sent.\u00a0 This applies to both SMS to customers and to technicians (such as reminders and information about changed orders, etc.). You will be charged for the previous period\u2019s messages. Each message (max 152 characters) costs 0.50 SKR. All messages are listed in the <a class=\"heroickb_exit_link\" href=\"?hkb-redirect&#038;nonce=10d9edb718&#038;check=4i399&#038;redirect=https%3A%2F%2Fsupport.serviceprotokoll.se%2Fen%2Fkb%2Femail-and-text-messages%2F%3Fhkb-redirect%26nonce%3Ded0bdf22f8%26check%3D7eb62%26redirect%3Dhttps%253A%252F%252Fsupport.serviceprotokoll.se%252Fen%252Fkb%252Fmessage-log%252F%26otype%3Dht_kb_article%26oid%3D9483%26source%3Dblock-content&#038;otype=unknown&#038;oid=0&#038;source=block-content\">Message Log<\/a>. The service can be activated\/deactivated per user. Read more about that under <a class=\"heroickb_exit_link\" href=\"?hkb-redirect&#038;nonce=10d9edb718&#038;check=1m0m7&#038;redirect=https%3A%2F%2Fsupport.serviceprotokoll.se%2Fen%2Fkb%2Femail-and-text-messages%2F%3Fhkb-redirect%26nonce%3Ded0bdf22f8%26check%3D2alqv%26redirect%3Dhttps%253A%252F%252Fsupport.serviceprotokoll.se%252Fen%252Fkb%252Femail-and-text-messages%252F%2523Kontoinstallningar%26otype%3Dht_kb_article%26oid%3D9483%26source%3Dblock-content&#038;otype=unknown&#038;oid=0&#038;source=block-content\">Change how notifications are sent to you.<\/a><\/p>\n\n<p class=\"wp-block-paragraph\"><a href=\"https:\/\/serviceprotokoll.se\/kontakt\/\">Contact one of our sales representatives <\/a>for more information and agreement.<\/p>\n\n<p class=\"wp-block-paragraph\"><strong>The maximum number<\/strong> of characters in an message is 152. If the message is longer, it will be sent as multiple messages. Keep in mind that an<strong> emoji<\/strong> takes up extra space and only gives you 70 characters for the message.<\/p>\n\n<p class=\"wp-block-paragraph\"><strong>Mobile numbers<\/strong> for text messages are always entered with +country code and without the 0 in the number. Ex: +46705123456<\/p>\n\n<p class=\"wp-block-paragraph\">You set the <strong>sender name<\/strong> for SMS under <em>Module settings \u2013 Email settings<\/em>. The name can contain a maximum of 11 characters including spaces. This is a limitation of the SMS function and something we cannot influence.<\/p>\n\n<h4 class=\"wp-block-heading\">Use own mail server &#8211; SMTP<\/h4>\n\n<p class=\"wp-block-paragraph\">If you want to use your own mail server for your mailings, go to <em>Group settings \u2013 Email settings<\/em> and fill in settings for your SMTP. You need to obtain information about SMTP settings (server and port) from your email provider. You may need permission from your provider to use SMTP.<\/p>\n\n<p class=\"wp-block-paragraph\">We are not able to provide support when using own SMTP. If you have any problems, please contact your email provider.<\/p>\n\n<h3 class=\"wp-block-heading\"><h3>Email\/SMS (at the bottom of an order)<\/h3><\/h3>\n\n<p class=\"wp-block-paragraph\">At the bottom of an order page you will find the <strong>Email\/SMS<\/strong> link. The numbers show where you can find more information about the field.<\/figcaption><\/figure>\n\n<ol class=\"wp-block-list\">\n<li><a href=\"#kontaktperson\" data-type=\"internal\" data-id=\"#kontaktperson\">Contact<\/a>.This field is standard and will not change due to any settings.<\/li>\n\n\n\n<li><a href=\"#Filnamn\">The file name<\/a> can be edited int the pop up but is also affected by settings in <em>Service protocol settings &#8211; Mail settings.<\/em><\/li>\n\n\n\n<li>Here you choose which print template the protocol should be sent to. <a href=\"https:\/\/support.serviceprotokoll.se\/en\/kb\/templates-docx\/\" data-type=\"ht_kb\" data-id=\"13121\">Learn more how to create and select your own print templates.<\/a><\/li>\n\n\n\n<li><a href=\"#Epostinstallningen\"><em>The Email setting <\/em>&#8220;Ta med uppladdade filer vid s\u00e4ndning&#8221;<\/a> ger m\u00f6jlighet att v\u00e4lja vilka filer som ska bifogas mailet.<\/li>\n\n\n\n<li><a href=\"#mall\" data-type=\"internal\" data-id=\"#mall\">Email message templates.<\/a>\u00a0Place the cursor in the SUBJECT fields and your template(s) will appear. Click on the template you want to use. The subject and text will be filled in automatically. You can change the text in the message. Changes to an individual mailing will not change your template. See image 8.<\/li>\n<\/ol>\n\n<h4 class=\"wp-block-heading\">1. Choose who to send to<\/h4>\n\n<p class=\"wp-block-paragraph\" id=\"kontaktperson\">If there is a contact person on the order, it will be displayed directly in the address field. Otherwise, place the cursor in the Address field to select more. If there are contact persons at the facility or customer, they will be listed. You can also enter an email address. If you want to send to more than one person, you can enter them with a ; (semicolon) between each address. No spaces between the address and the semicolon. For example, name.name@epost.se;name.name@epost.se.<\/p>\n\n<p class=\"wp-block-paragraph\" id=\"kontaktperson\">When you have selected a contact, it will be filled in under the contact field so you can easily see who you have chosen to send to and can easily delete a contact.<\/p>\n\n<p class=\"wp-block-paragraph\">The list is sorted alphabetically by first name. After each name is indicated which facility the contact is at. The billing address is also included in the list if this is specified on the customer.<\/p>\n\n<h4 class=\"wp-block-heading\">2. Choose what the file should be called<\/h4>\n\n<p class=\"wp-block-paragraph\" id=\"Filnamn\">The file name always contains the order number. The file name can be changed manually in the popup if necessary. However, keep in mind that a changed file name is not saved anywhere!<\/p>\n\n<p class=\"wp-block-paragraph\">You can also influence the file name by selecting one or more of these in <em>Service Protocol Settings &#8211; Mail Settings:<\/em><\/p>\n\n<ul class=\"wp-block-list\">\n<li>Include machine number in PDF filename<\/li>\n\n\n\n<li>Include date in filename<\/li>\n\n\n\n<li>Include facility in filename<\/li>\n\n\n\n<li>Include service object description on PDF<\/li>\n<\/ul>\n\n<h4 class=\"wp-block-heading\">3. Print templates<\/h4>\n\n<p class=\"wp-block-paragraph\">Select which print template the protocol should use. <a class=\"heroickb_exit_link\" href=\"?hkb-redirect&#038;nonce=10d9edb718&#038;check=2rb30&#038;redirect=https%3A%2F%2Fsupport.serviceprotokoll.se%2Fen%2Fkb%2Ftemplates-docx%2F&#038;otype=unknown&#038;oid=0&#038;source=block-content\" data-type=\"ht_kb\" data-id=\"13121\">Read here how to create and select own print templates.<\/a><\/p>\n\n<h4 class=\"wp-block-heading\">4. Attach files to mailings<\/h4>\n\n<figure class=\"wp-block-image size-full\"><img decoding=\"async\" src=\"https:\/\/support.serviceprotokoll.se\/wp-content\/uploads\/2026\/07\/Emailsettings_step4.png\" alt=\"\" class=\"wp-image-29037\"\/><figcaption class=\"wp-element-caption\">Image 4: In Email Settings you will find the setting required to be able to choose which uploaded files to attach.<\/figcaption><\/figure>\n\n<p class=\"wp-block-paragraph\" id=\"Epostinstallningen\">Under<em> Group settings \u2013 E-mail settings<\/em>, you can choose to select \u201c<em>Include uploaded files when sending\u201d<\/em>. Then you can choose which files should be attached when you send the email. You can only select files that have the setting &#8220;Visible to customer&#8221;.<\/p>\n\n<p class=\"wp-block-paragraph\">On a <em>Service Protocol<\/em>, you must also have selected the \u201cShow images\u201d setting for this to work. You make the setting in <em>Service protocol settings.<\/em><\/p>\n\n<h4 class=\"wp-block-heading\">5. Create your own templates for emailing protocols and order confirmations<\/h4>\n\n<p class=\"wp-block-paragraph\" id=\"mall\"><p id=\"mall\" class=\"wp-block-paragraph\">With this function, you can create your own mailings for sending protocols and order confirmations for <em>Work Orders, Service orders<\/em> and <em>Service Protocols<\/em> as well as order confirmations for <em>Sales Orders<\/em>. The function is also available for <em>Purchase orders<\/em> and <em>Quotations<\/em>\u00a0by clicking the button <strong>Send e-mail.\u00a0<\/strong>See image 8.<\/p><\/p>\n\n<p class=\"wp-block-paragraph\" id=\"mall\">This function adds sa footer with your address and other information and your logo if set in <a class=\"heroickb_exit_link\" href=\"?hkb-redirect&#038;nonce=10d9edb718&#038;check=6torr&#038;redirect=https%3A%2F%2Fsupport.serviceprotokoll.se%2Fen%2Fkb%2Fgroup-and-module-settings%2F&#038;otype=unknown&#038;oid=0&#038;source=block-content\">Group settings.<\/a><\/p>\n\n<figure class=\"wp-block-image size-full\"><img decoding=\"async\" src=\"https:\/\/support.serviceprotokoll.se\/wp-content\/uploads\/2026\/07\/PS_EN_Email_workorder_ready_invoice.png\" alt=\"\" class=\"wp-image-20340\"\/><figcaption class=\"wp-element-caption\">Image 5. Email example.<\/figcaption><\/figure>\n\n<h5 class=\"wp-block-heading\">Create templates<\/h5>\n\n<p class=\"wp-block-paragraph\">This step requires admin permission.<\/p>\n\n<ul class=\"wp-block-list\">\n<li>Go to <em>Group settings \u2013 Module settings<\/em><\/li>\n\n\n\n<li>Click <em>Email settings<\/em><\/li>\n\n\n\n<li><strong>Standard template<\/strong><br>Your default template is automatically selected when you click a link under Email\/SMS. If you want to use one of your other templates, you need to click X to bring up your other templates.\n<ul class=\"wp-block-list\">\n<li>Select <em>Standard work order template or service order.<\/em><\/li>\n\n\n\n<li>Fill in the subject and the text to be sent. The title is what appears as the Subject on the recipient&#8217;s screen. The message may contain code.<\/li>\n<\/ul>\n<\/li>\n\n\n\n<li><strong>Templates<\/strong>\n<ul class=\"wp-block-list\">\n<li>Click <em>+ Add a new template<\/em><\/li>\n\n\n\n<li>Enter the subject and the message you want to send. The subject is what appears as the subject of the email. The message may contain code. You can have several different messages. Choose from your email templates.<\/figcaption><\/figure>\n\n<h4 class=\"wp-block-heading\">Email signature<\/h4>\n\n<p class=\"wp-block-paragraph\">Do you want it to be sent with a signature that shows that it was you who sent the message?<\/p>\n\n<p class=\"wp-block-paragraph\">Then you add an email signature in your account settings. This is then your personal signature and is automatically added <strong>after<\/strong> a message you have created as above.
