The customer number is used for connection with accounting software and to be able to easily distinguish customers. To link customers from this system to others it\u2019s recommended that you use the same number here as in those systems. By clicking on the &#8220;tick&#8221; after the search field you can set different search filters. When you click on it, you can change settings for multiple customers at the same time. A popup will open where you fill in the customer details. The customer will be saved in the customer register.<\/p>\n<\/div>\n<\/div>\n\n<h4 class=\"wp-block-heading\">Business or Private?<\/h4>\n\n<p>By default, &#8220;Company&#8221; is selected when you add a new customer.<\/p>\n\n<p class=\"wp-block-ht-blocks-messages wp-block-hb-message wp-block-hb-message--withicon is-style-info\">If you want the default setting to be &#8220;Private&#8221; this can be set under <em>Customer Settings<\/em>. <a href=\"https:\/\/support.serviceprotokoll.se\/wp-admin\/post.php?post=9188&amp;action=edit&amp;lang=sv&amp;referer=ate&amp;wpml_tm_saved=1#admininfo\">See more in Information to admin<\/a>.<\/p>\n\n<p>If you select &#8220;Private&#8221;, the organizational unit number field will change to personal identity number and fields for tax reduction and co-applicants will open further down on the customer card.<\/p>\n\n<p>If you have integration with Fortnox and have selected &#8220;sync of updated customers&#8221;, the personal identification number is registered in Fortnox and the customer is set as Private there as well and vice versa.<\/p>\n\n<figure class=\"wp-block-image size-full\"><img decoding=\"async\" src=\"https:\/\/support.serviceprotokoll.se\/wp-content\/uploads\/2025\/03\/PS_EN_customer_marked_type2.png\" alt=\"\" class=\"wp-image-21550\"\/><figcaption class=\"wp-element-caption\">Image 1<\/figcaption><\/figure>\n\n<h4 class=\"wp-block-heading\">Organisation number\/Personal identification number<\/h4>\n\n<p>Fill in the organisation number\/personal identification number. If it is an organisation number, you can click on the search symbol (magnifying glass) to retrieve the name and address.<\/p>\n\n<h4 class=\"wp-block-heading\">VAT or No VAT?<\/h4>\n\n<p>If a corporate ID is entered, VAT will not be displayed on orders or prints by default. If no corporate ID is entered, VAT will be displayed on orders and prints.<br\/>Requirement: that the article has VAT stated.<\/p>\n\n<p>If you want to be able to change this, there is an option in <em>Customer Settings<\/em> to &#8220;Show VAT type&#8221; (See image 1). If you activate this function, you can specify whether the customer&#8217;s orders etc. should be entered with VAT or not. If you select &#8220;Normal VAT&#8221;, VAT will always be displayed &#8211; even if a corporate registration number is entered.<\/p>\n\n<h3 class=\"wp-block-heading\">Unique VAT on Customer<\/h3>\n\n<p>If you want to specify a specific VAT for a customer, do this:<\/p>\n\n<ol class=\"wp-block-list\">\n<li>Select <strong>VAT type <\/strong>\u2013 \u201cCustom VAT\u201d.<\/li>\n\n\n\n<li>The VAT field is activated. Fill in the VAT that should apply to this customer (you do not need to enter the %, just a digit)<\/li>\n<\/ol>\n\n<p><strong>Conditions:<\/strong> The customer setting \u201cShow VAT type\u201d is required. Admin permission are required to activate the setting.<\/p>\n\n<p><strong>Note<\/strong>: If you want to be able to change VAT on an individual article, you also need the <a class=\"heroickb_exit_link\" href=\"?hkb-redirect&#038;nonce=8ab869b263&#038;check=41d1v&#038;redirect=https%3A%2F%2Fsupport.serviceprotokoll.se%2Fen%2Fkb%2Farticle-settings%2F%23view-settings&#038;otype=unknown&#038;oid=0&#038;source=block-content\">Article setting<\/a> \u201cUse VAT per article row\u201d.<\/p>\n\n<h4 class=\"wp-block-heading\">Discount letter<\/h4>\n\n<p>Search and select any discount letters. Put the cursor in the field and all entered discount letters will be listed.<br\/><br\/>Learn more about <a class=\"heroickb_exit_link\" href=\"?hkb-redirect&#038;nonce=8ab869b263&#038;check=69s25&#038;redirect=https%3A%2F%2Fsupport.serviceprotokoll.se%2Fen%2Fkb%2Fdiscount-letter%2F&#038;otype=unknown&#038;oid=0&#038;source=block-content\" data-type=\"ht_kb\" data-id=\"9663\">Discount letter<\/a>.<\/p>\n\n<h4 class=\"wp-block-heading\">Language<\/h4>\n\n<p>If you have selected &#8220;Show language&#8221; in Customer settings, you can choose which language the customer receives SMS, e-mail messages and protocols in. This applies to the system&#8217;s texts and not to those you have created, such as service points or comments you have entered. <a class=\"heroickb_exit_link\" href=\"?hkb-redirect&#038;nonce=8ab869b263&#038;check=3kfh5&#038;redirect=https%3A%2F%2Fsupport.serviceprotokoll.se%2Fen%2Fkb%2Fchoose-your-language%2F&#038;otype=unknown&#038;oid=0&#038;source=block-content\">Here you can see which languages \u200b\u200bare offered.<\/a><\/p>\n\n<h4 class=\"wp-block-heading\">Customer&#8217;s order number<\/h4>\n\n<p>Here you enter the customer&#8217;s order number. When you create orders from the customer, the customer&#8217;s order number is included.<\/p>\n\n<h4 class=\"wp-block-heading\">Custom fields<\/h4>\n\n<p>On customer card you can add custom fields. <a class=\"heroickb_exit_link\" href=\"?hkb-redirect&#038;nonce=8ab869b263&#038;check=quf79&#038;redirect=https%3A%2F%2Fsupport.serviceprotokoll.se%2Fen%2Fkb%2Fcreate-custom-fields%2F&#038;otype=unknown&#038;oid=0&#038;source=block-content\" data-type=\"ht_kb\" data-id=\"9202\">earn more about custom fields here.<\/a><\/p>\n\n<h4 class=\"wp-block-heading\">Comments<\/h4>\n\n<p>Comments you write in the comments field are not displayed to a logged-in customer (customer user) or on printouts such as protocols.<\/p>\n\n<p>The comment appears under the customer&#8217;s name on orders if you have the <em>Work Order Setting &#8211; Show Customer Comment on Order<\/em>. This setting then applies to all types of orders, not just work orders. It also appears on facilities and service objects linked to the customer.<\/p>\n\n<h4 class=\"wp-block-heading\">Customer articles<\/h4>\n\n<p>If you have selected &#8220;Show service articles&#8221; and\/or &#8220;Show work order articles&#8221; in the <em>Customer Settings &#8211; View Settings<\/em>, you will see the headings Service articles and Work order articles. Here you can add articless that will be added automatically when the customer is selected on a service or work order. For example, a fixed cost for travel can be added as agreed with the customer. This way, technicians on site do not need to keep track of what should be entered for the specific customer.<br\/>When you create an order, you will be asked if you want to load the articles onto the order.<\/p>\n\n<h4 class=\"wp-block-heading\">Addresses<\/h4>\n\n<p>The customer has support for three different addresses;<strong>\u00a0Invoice Address<\/strong>,\u00a0<strong>Visiting Address<\/strong>\u00a0and\u00a0<strong>E-mail Address<\/strong>. To add the latter two, use the \u201c+ Add visiting address\u201d and \u201c+ Add mail address\u201d buttons.<\/p>\n\n<h4 class=\"wp-block-heading\">Persons of contact<\/h4>\n\n<p>The customer can have multiple contact persons and you can add these by pressing the &#8220;<em>+ Add contact person<\/em>&#8221; button. When you add a contact person, you can choose to select &#8220;Send service protocol&#8221; and &#8220;Send work order&#8221;. Then, when an order is ready for invoicing, you will be asked whether these should be sent. If you answer Yes, you do not need to do anything else, the system will take care of the rest and send the report or work order to the email address you have entered here.<\/p>\n\n<p>You can also mark whether the person is the main contact. This marking is for information only and does not affect any actions.<\/p>\n\n<h4 class=\"wp-block-heading\">Tax reduction<\/h4>\n\n<p id=\"skattereduktion\">Enter information for any tax reduction for a condominium association or personal identification number for a co-applicant for any tax deductions, deductions or green deductions.<br\/><strong>Note:<\/strong> To activate this feature, select &#8220;Use tax reductions&#8221; in <em>Article Settings.<\/em><\/p>\n\n<figure class=\"wp-block-image size-full\"><img decoding=\"async\" src=\"https:\/\/support.serviceprotokoll.se\/wp-content\/uploads\/2026\/01\/PS_EN_Customercard_private_taxredux_coapply.png\" alt=\"\" class=\"wp-image-26543\"\/><\/figure>\n\n<h4 class=\"wp-block-heading\">More settings<\/h4>\n\n<p>At the bottom of the customer card there are a number of settings to choose from.<\/p>\n\n<ul class=\"wp-block-list\">\n<li>Facilities disabled for this customer.<br\/>With this marked it is not possible to add facilities to the customer.<\/li>\n\n\n\n<li>A facility is obligatory when creating orders on this customer.<br\/>When you add an order to the customer, the system will require you to select a facility.<\/li>\n\n\n\n<li>A cost center is obligatory when creating orders on this customer.<\/li>\n\n\n\n<li>Always send to ERP as invoice<br\/>Instead of sending an order to the accounting system, an invoice is sent directly. This overwrites the settings you have chosen for the integration of your financial system.<\/li>\n<\/ul>\n\n<p>Don&#8217;t forget to Save!<\/p>\n\n<h4 class=\"wp-block-heading\">Customer user<\/h4>\n\n<p>Once you have saved, you can add a customer user. The customer can get their own login to keep track of their orders, submit error reports, change information, etc. <a class=\"heroickb_exit_link\" href=\"?hkb-redirect&#038;nonce=8ab869b263&#038;check=2lism&#038;redirect=https%3A%2F%2Fsupport.serviceprotokoll.se%2Fen%2Fkb%2Fcreate-account-for-customer%2F&#038;otype=unknown&#038;oid=0&#038;source=block-content\">Read more about customer users and how to create a login here.<\/a><\/p>\n\n<div class=\"wp-block-group is-layout-constrained wp-block-group-is-layout-constrained\">\n<h4 class=\"wp-block-heading\">Time article as a work order article<\/h4>\n\n\n\n<p>By adding time articles to the customer card and setting the number of hours to 0, it is enough to, when you are done with the job, change 0 to the actual number of hours worked. The date for the work will then automatically be set to the day you enter the hours.<\/p>\n\n\n\n<p><strong>Note<\/strong> that if you later go in and change the line, the date of the time worked will also change and need to be reset manually.<\/p>\n<\/div>\n\n<h4 class=\"wp-block-heading\">How to add an order, error report, etc. to the customer<\/h4>\n\n<p>Do this:<\/p>\n\n<ul class=\"wp-block-list\">\n<li>Find the customer and click on the customer name.<\/li>\n\n\n\n<li>Scroll to the bottom.<\/li>\n\n\n\n<li>Click the\u00a0<strong>Add\u00a0<\/strong>button<strong>.<\/strong><\/li>\n<\/ul>\n\n<figure class=\"wp-block-image size-full\"><img decoding=\"async\" src=\"https:\/\/support.serviceprotokoll.se\/wp-content\/uploads\/2025\/03\/PS_EN_customer_add_popup.png\" alt=\"\" class=\"wp-image-21558\"\/><\/figure>\n\n<p>All orders, error reports, quotations etc. are listed on the customer. You can sort the lists by clicking on the headings in the lists. If you have more than 10 in a list, click\u00a0<strong>View all<\/strong>\u00a0to be able to sort the list.<\/p>\n\n<h4 class=\"wp-block-heading\">Documents<\/h4>\n\n<p>Upload files &#8211; images, pdfer &#8230; <a class=\"heroickb_exit_link\" href=\"?hkb-redirect&#038;nonce=8ab869b263&#038;check=4cnca&#038;redirect=https%3A%2F%2Fsupport.serviceprotokoll.se%2Fen%2Fkb%2Fupload-documents-and-images-to-folders%2F&#038;otype=unknown&#038;oid=0&#038;source=block-content\" data-type=\"ht_kb\" data-id=\"18814\">Learn more about creating folders and uploading files.<\/a><\/p>\n\n<p>All changes made to the customer card are listed here.<\/p>\n\n<h4 class=\"wp-block-heading\"><strong>History<\/strong><\/h4>\n\n<h4 class=\"wp-block-heading\"><strong>Inactivate<\/strong><\/h4>\n\n<p>Inactivating a customer means that the customer cannot be selected for new orders, but all executed orders remain and can be tracked. <\/p>\n\n<p>To find inactive customers, use the filter function.<\/p>\n\n<figure class=\"wp-block-image size-full\"><img decoding=\"async\" src=\"https:\/\/support.serviceprotokoll.se\/wp-content\/uploads\/2025\/03\/PS_EN_filter_inactive_customer.png\" alt=\"\" class=\"wp-image-19939\"\/><figcaption class=\"wp-element-caption\">Select Show only &#8211; Inactive to search for inactive customers.<\/figcaption><\/figure>\n\n<p>To activate a customer again open the customer card, scroll down to the bottom and click <strong>Activate<\/strong>.<\/p>\n\n<h4 class=\"wp-block-heading\">Assign technician to customer<\/h4>\n\n<p>By assigning a technician to a customer, all orders will automatically be placed with this technician.<\/p>\n\n<p>You need to have the Assign permission to be able to select a user (technician, etc.) as responsible for the customer.<\/p>\n\n<p>You can assign either by going to the customer, scrolling to the bottom and clicking Assign or by selecting list view (the button with three white lines) in the customer register, clicking the gear and selecting Assign from the list.<br\/>A menu with all users in the group opens. Select the user and click Done. A notification is sent to the user with the information that they have been assigned a customer.<\/p>\n\n<p>The user will now be automatically assigned and notified of all orders and error reports that affect the customer. However, the customer will not be notified.<\/p>\n\n<p>To remove the assigned technician from a customer, do the same but uncheck the box in the list of users. A notification will be sent to the user that they are no longer assigned to the customer.<\/p>\n\n<figure class=\"wp-block-image size-full\"><img decoding=\"async\" src=\"https:\/\/support.serviceprotokoll.se\/wp-content\/uploads\/2025\/02\/PS_EN_customer_listview_assign.png\" alt=\"\" class=\"wp-image-9189\"\/><\/figure>\n\n<h3 class=\"wp-block-heading\" id=\"admininfo\"><strong>Information to admins<\/strong><\/h3>\n\n<h4 class=\"wp-block-heading\">Change customer number<\/h4>\n\n<p>A customer number can only be changed afterwards by the administrator. Find the customer in the register and click on the Edit button at the bottom.<\/p>\n\n<h4 class=\"wp-block-heading\"><strong>Module settings<\/strong><\/h4>\n\n<p id=\"visa\">There are a lot of settings that can be made for the Customer register. You can, among other things, set a minimum and maximum length for the customer number.<\/p>\n\n<h5 class=\"wp-block-heading\">Group settings<\/h5>\n\n<p><\/p>\n\n<ul class=\"wp-block-list\">\n<li>Automatically generate the next customer number.<br\/><br\/>The system automatically adds a customer number when you add a new customer.<\/li>\n\n\n\n<li>Include customer number in the display name.<br\/><br\/>The customer number is visible\u00a0<strong>above<\/strong>\u00a0the customer name in list views, for example in the register of customers and\u00a0<strong>before<\/strong>\u00a0the customer number in list views for orders.<\/li>\n\n\n\n<li>Show the facility name instead of the customer in list views.<\/li>\n\n\n\n<li>Show cost center fields (also applies to orders).<br\/><br\/>The field is added to the customer card and orders linked to the customer.<\/li>\n\n\n\n<li>Show order number (also applies to orders).<br\/><br\/>Displays the customer\u2019s order number.<\/li>\n\n\n\n<li>Require customer\u2019s order number on orders.<br\/><br\/>Orders can not be saved without entering the customer\u2019s order number.<\/li>\n\n\n\n<li><b>Make the cost center required on orders<\/b><br\/>Orders cannot be saved without specifying a cost center. The COST CENTER field is highlighted.<\/li>\n\n\n\n<li class=\"visa\">Show language.<br\/><br\/>This setting makes it possible to choose in which language the customer will receive messages and e-mails from the system. This applies to the system\u2019s texts and not those you have created yourself, such as service points. See<a href=\"https:\/\/support.serviceprotokoll.se\/en\/knowledge-base\/choose-your-language\/\" data-type=\"ht_kb\" data-id=\"12342\"> list of selectable languages.<\/a><\/li>\n\n\n\n<li>Show VAT type.<br\/><br\/>Adds a field where you choose if the customers order and quotations shall show NormalVAT or NoVAT.<\/li>\n\n\n\n<li>Set private as default type.<br\/>To make it easier for those of you who work a lot with private customers. Without this setting, select Business as default type.<\/li>\n<\/ul>\n\n<h6 class=\"wp-block-heading\">View settings<\/h6>\n\n<ul class=\"wp-block-list\">\n<li>Show service articles<br\/><br\/>Provides the ability to add articless to a service order. You will be asked when the order is created whether these should be added.<\/li>\n\n\n\n<li>Show work order articles<br\/><br\/>Provides the ability to add articles to a service order. You will be asked when the order is created whether these should be added.<\/li>\n<\/ul>\n\n<h6 class=\"wp-block-heading\">Custom fields<\/h6>\n\n<p>Based on your needs you can create your own fields for customer information \u2013\u00a0<strong>Custom fields<\/strong>.
