Feel free to use the down arrow on the right side of the page.<\/li>\n\n\n\n<li>Click <strong>Perform service<\/strong>\u00a0or, if service has started,\u00a0<strong>Continue<\/strong>. You will be taken directly to a service protocol and can start performing service and fill in the information about the service.<\/li>\n\n\n\n<li>If the service has 10 or more service objects, the different assignments are tabbed together. Click on the + sign on the right to open a service object.<\/li>\n\n\n\n<li>Please note that you cannot change a service order if you have started the service.<\/li>\n<\/ul>\n\n<p><a class=\"heroickb_exit_link\" href=\"?hkb-redirect&#038;nonce=dcd024e41a&#038;check=6pt81&#038;redirect=https%3A%2F%2Fsupport.serviceprotokoll.se%2Fen%2Fkb%2Fbasic-guide-for-technicians%2F&#038;otype=unknown&#038;oid=0&#038;source=block-content\" data-type=\"ht_kb\" data-id=\"19014\">Here you will find a easy guide for technicians.<\/a><\/p>\n\n<h4 class=\"wp-block-heading\">Before starting the service \u2013 start a timer<\/h4>\n\n<p>Do you want to start a timer to record travel and\/or work on a work order or service order? Click on <strong>Start timer.<\/strong>The timers box will open. Select <strong>Start trip<\/strong>or<strong>Start work. <\/strong>You may need to refresh the page to see the timer running.<\/p>\n\n<p>When you are finished with the trip\/work, click the <strong>Start timer<\/strong> again link or <strong>the timer symbol<\/strong> and select<strong> Finish work<\/strong>. Click on the assignment or Other to which the time should be linked. The time is now registered on the order.<\/p>\n\n<p><a class=\"heroickb_exit_link\" href=\"?hkb-redirect&#038;nonce=dcd024e41a&#038;check=1654v&#038;redirect=https%3A%2F%2Fsupport.serviceprotokoll.se%2Fen%2Fkb%2Ftimer%2F&#038;otype=unknown&#038;oid=0&#038;source=block-content\" data-type=\"ht_kb\" data-id=\"9105\">Read more about Timers here.<\/a><\/p>\n\n<h4 class=\"wp-block-heading\">The facility\u2019s service points<\/h4>\n\n<p>If there are service points you need to perform on the facility before you begin the service, these are listed under Facility. You can add a service point by clicking<em> + Add service component.<\/em><\/p>\n\n<h4 class=\"wp-block-heading\">Missing a service object?<\/h4>\n\n<p>When you need to add a new service object, choose Save the started service protocol. Then scroll to the bottom of the protocol and click the link <strong>Create new service protocol.<\/strong> A new protocol is opened which receives the number of the original order and a number, e.g. 1234-2. When you have filled in all the information about the object, you save. The service object is now on the originating order and you can continue with your protocol.<\/p>\n\n<figure class=\"wp-block-image size-full\"><img decoding=\"async\" src=\"https:\/\/support.serviceprotokoll.se\/wp-content\/uploads\/2025\/04\/PS_EN_createnewprotocol_marked.png\" alt=\"Create a new protocol\" class=\"wp-image-18164\"\/><\/figure>\n\n<p>A service object can also be added directly to a protocol. Click the <em>+ Add a service object<\/em> link below the existing service objects.<\/p>\n\n<p><strong>Create new service object?<\/strong><\/p>\n\n<p>To create a new service object, first click on <em>+ Add a service object<\/em> and then on <em>+ Create service object<\/em>. A form will open where you can add an object.<\/p>\n\n<p>If you have selected a model for the object and the model has service intervals and parts, the system will retrieve that information. To see this information, you first need to save the service order. When you then click <strong>Edit\/Continue,<\/strong> the information is there and you can choose which service (service interval) should be performed.<\/p>\n\n<figure class=\"wp-block-image size-full\"><img decoding=\"async\" src=\"https:\/\/support.serviceprotokoll.se\/wp-content\/uploads\/2025\/04\/PS_EN_add_object_on_protocol.png\" alt=\"\" class=\"wp-image-22284\"\/><\/figure>\n\n<figure class=\"wp-block-image size-full\"><img decoding=\"async\" src=\"https:\/\/support.serviceprotokoll.se\/wp-content\/uploads\/2026\/03\/PS_EN_SO_create_new_object.png\" alt=\"\" class=\"wp-image-27622\"\/><\/figure>\n\n<p>Don&#8217;t see the link? Then you do not have the permission to add service objects.<\/p>\n\n<h4 class=\"wp-block-heading\">Perform service<\/h4>\n\n<h5 class=\"wp-block-heading\">Partially perform, merge protocol or separate<\/h5>\n\n<h6 class=\"wp-block-heading\">Partially perform<\/h6>\n\n<p>Choose whether you want to use partial execution or not. It is best not to mix partial perform and perform as it can easily cause confusion about what is complete. If you do not want to perform a partial service at all, scroll down and select <strong>Perform service.<\/strong><\/p>\n\n<p>Being able to <strong>Partially Perform<\/strong> is a user permission. If you have that permission, there is always the <strong>Partial perform service<\/strong> button \u2013 even if there is only one (1) service object on the service order.<\/p>\n\n<p>In the example below service on \u201cFrymaster\u201d has been executed and a protocol been created. The protocol receives the service order number + a sequential number: e.g. 107-1, 107-2, etc.<\/p>\n\n<figure class=\"wp-block-image size-full\"><img decoding=\"async\" src=\"https:\/\/support.serviceprotokoll.se\/wp-content\/uploads\/2025\/04\/PS_EN_SO_partially.png\" alt=\"\" class=\"wp-image-11780\"\/><figcaption class=\"wp-element-caption\">Image 1<\/figcaption><\/figure>\n\n<p>When you are finished with one of the items\/tasks, you will see the <strong>Show Protocol<\/strong> button.<\/p>\n\n<p>In the protocol, you see information about the partially completed object, including articles\/parts that were used on that particular protocol.<\/p>\n\n<p>Please note that new service is generated when all objects are executed and signed, not when a object is partially signed.<\/p>\n\n<h6 class=\"wp-block-heading\">Merge service protocols<\/h6>\n\n<p>If you use Partially perform service and then want to merge the protocols, do this:<\/p>\n\n<ul class=\"wp-block-list\">\n<li>Locate the original service order. <\/li>\n\n\n\n<li>Scroll to the bottom of the order and click <em>Merge service protocols.<\/em><\/li>\n\n\n\n<li>Click Merge in the dialog box. ATTENTION! The merger cannot be undone, but you can always choose Cancel.<\/li>\n\n\n\n<li>Sign the merged protocol and the next service is generated.<\/li>\n<\/ul>\n\n<p><strong>Conditions: <\/strong>All partial services must be completed and signed for you to be able to merge into a protocol.<\/p>\n\n<p>If you do not see the Partial Perform button, it means that you do not have the permission to Partial Perform or have chosen not to use this function.<\/p>\n\n<figure class=\"wp-block-image size-full\"><img decoding=\"async\" src=\"https:\/\/support.serviceprotokoll.se\/wp-content\/uploads\/2025\/04\/PS_EN_merge_protocols.png\" alt=\"\" class=\"wp-image-12373\"\/><figcaption class=\"wp-element-caption\">Image 2<\/figcaption><\/figure>\n\n<h6 class=\"wp-block-heading\">Separate service objects from the service order<\/h6>\n\n<div class=\"wp-block-columns is-layout-flex wp-container-core-columns-is-layout-28f84493 wp-block-columns-is-layout-flex\">\n<div class=\"wp-block-column is-layout-flow wp-block-column-is-layout-flow\" style=\"flex-basis:33.33%\">\n<figure class=\"wp-block-image size-full\"><img decoding=\"async\" src=\"https:\/\/support.serviceprotokoll.se\/wp-content\/uploads\/2023\/07\/Symbol_split.png\" alt=\"Split\" class=\"wp-image-11742\"\/><\/figure>\n<\/div>\n\n\n\n<div class=\"wp-block-column is-layout-flow wp-block-column-is-layout-flow\" style=\"flex-basis:66.66%\">\n<p>By clicking this symbol in the upper right corner, you can create a separate service order for the service object.<\/p>\n\n\n\n<p>If you use this option, you cannot then merge it into a service protocol again as in Partial perform.<\/p>\n<\/div>\n<\/div>\n\n<h5 class=\"wp-block-heading\">Collapse service points<\/h5>\n\n<p>NOTE: This is a setting made by your admin account.<br\/><br\/>If you have two or more service objects on a service order, the ones you are done with are marked with a green ring around a blue tick (see image below). The information about the service object is \u201cfolded together\u201d to save space on your mobile\/computer.<\/p>\n\n<p>If you want to open the information about the object, click on the plus sign to the left of the object\u2019s name.<\/p>\n\n<p><h5 id=\"add-information-about-the-object\" class=\"wp-block-heading\">Add information about the object<\/h5><\/p>\n\n<p>If you want to quickly complete or change the information about the service object, click on the \u201cpen\u201d after the object and a box will open where you fill in the new information.<\/p>\n\n<figure class=\"wp-block-image size-full\"><img decoding=\"async\" src=\"https:\/\/support.serviceprotokoll.se\/wp-content\/uploads\/2025\/04\/PS_several_object_per_order.png\" alt=\"\" class=\"wp-image-9151\"\/><\/figure>\n\n<div class=\"wp-block-columns is-layout-flex wp-container-core-columns-is-layout-28f84493 wp-block-columns-is-layout-flex\">\n<div class=\"wp-block-column is-layout-flow wp-block-column-is-layout-flow\" style=\"flex-basis:33.33%\">\n<figure class=\"wp-block-image size-full\"><img decoding=\"async\" src=\"https:\/\/support.serviceprotokoll.se\/wp-content\/uploads\/2023\/12\/Document.png\" alt=\"\" class=\"wp-image-12927\"\/><\/figure>\n<\/div>\n\n\n\n<div class=\"wp-block-column is-layout-flow wp-block-column-is-layout-flow\" style=\"flex-basis:66.66%\">\n<p>When you execute a service order, you will see this symbol next to the service object name if there are attached files uploaded on the object. Click on the icon to display thumbnails of the attached files. Click on the thumbnail and it will open in a larger version.<\/p>\n<\/div>\n<\/div>\n\n<figure class=\"wp-block-image size-full\"><img decoding=\"async\" src=\"https:\/\/support.serviceprotokoll.se\/wp-content\/uploads\/2025\/04\/PS_EN_SO_view_doc_on_object.png\" alt=\"\" class=\"wp-image-12925\"\/><\/figure>\n\n<h4 class=\"wp-block-heading\" id=\"servicepunkter\">SERVICE COMPONENTS<\/h4>\n\n<h5 class=\"wp-block-heading\">Add service component<\/h5>\n\n<p><span style=\"font-weight: 400;\">The service components and materials needed for the service are retrieved from the service order itself, but you can add both service points and materials by clicking on <\/span><i><span style=\"font-weight: 400;\">+ Add service component<\/span><\/i><span style=\"font-weight: 400;\">\u00a0and \/ or <\/span><i><span style=\"font-weight: 400;\">+ Add part.<\/span><\/i><\/p>\n\n<figure class=\"wp-block-image size-full\"><img decoding=\"async\" src=\"https:\/\/support.serviceprotokoll.se\/wp-content\/uploads\/2025\/04\/PS_EN_add_template_to_protocol.png\" alt=\"\" class=\"wp-image-17123\"\/><\/figure>\n\n<p>If you want to add a service template, place the cursor in the TEMPLATES field and your existing templates will be listed. <\/p>\n\n<p>If you want to create a completely new template, click on the + sign to the right of the field and a new tab will open in your browser where you can create your new template. <\/p>\n\n<figure class=\"wp-block-image size-full\"><img decoding=\"async\" src=\"https:\/\/support.serviceprotokoll.se\/wp-content\/uploads\/2025\/04\/PS_EN_popup_add_template_to_protocol.png\" alt=\"\" class=\"wp-image-17121\"\/><\/figure>\n\n<p>When you have selected a template, you will be asked if you want to replace the template you already have on the protocol or add to it.<\/p>\n\n<p>If you choose replace, the old template will be removed, if you choose add, you will keep the old one plus the new one.<\/p>\n\n<h5 class=\"wp-block-heading\">Adjusted &#8211; Should be addressed<\/h5>\n\n<p><span style=\"font-weight: 400;\">If you select <\/span><i><span style=\"font-weight: 400;\">Adjusted<\/span><\/i><span style=\"font-weight: 400;\"> or <\/span><i><span style=\"font-weight: 400;\">Should be addressed,<\/span><\/i><span style=\"font-weight: 400;\"> a comment field opens where you can enter comments or choose from your preset suggestions. You can select multiple comment suggestions for a service point. The comments are placed on a line separated by a , (comma). If you do not see the bin, you do not have the permission to remove service points.<\/p>\n\n<h5 class=\"wp-block-heading\">Add image<\/h5>\n\n<p><span style=\"font-weight: 400;\">By clicking on <\/span><i><span style=\"font-weight: 400;\">Add image<\/span><\/i><span style=\"font-weight: 400;\">, you can take a photo or select a photo from your mobile or computer and upload directly at the service point. The photo will be added to the protocol-pdf. If you want to upload more pictures, click on <\/span><i><span style=\"font-weight: 400;\">Add image<\/span><\/i><span style=\"font-weight: 400;\">\u00a0again.<\/span><\/p>\n\n<h5 class=\"wp-block-heading\">Help<\/h5>\n\n<p>If there is a description and\/or image as instructions to the service point, you will see a question mark to the right of the service point. Click on the question mark to open the description.<\/p>\n\n<figure class=\"wp-block-image size-full\"><img decoding=\"async\" src=\"https:\/\/support.serviceprotokoll.se\/wp-content\/uploads\/2025\/04\/PS_EN_servicepoint_open_instruction.png\" alt=\"\" class=\"wp-image-13207\"\/><\/figure>\n\n<h5 class=\"wp-block-heading\">Value<\/h5>\n\n<p>Do you have the field Value in the protocol?<\/p>\n\n<p>The old measurement values \u200b\u200bare shown grayed out so you can easily compare and follow up.<\/p>\n\n<p><em><strong>Learn more about <\/strong><a class=\"heroickb_exit_link\" href=\"?hkb-redirect&#038;nonce=dcd024e41a&#038;check=757kg&#038;redirect=https%3A%2F%2Fsupport.serviceprotokoll.se%2Fen%2Fkb%2Fcreate-and-handle-a-service-template%2F&#038;otype=unknown&#038;oid=0&#038;source=block-content\">service templates here.<\/a><\/em><\/p>\n\n<h5 class=\"wp-block-heading\">Summery of remarks<\/h5>\n\n<p>When you have finished and saved the service points, symbols will appear in the right corner of the service object if there are any notes (i.e. Corrected, Changed or Should be addressed). Hover over the symbols to see what the points are.<\/p>\n\n<p>Like this:<\/p>\n\n<figure class=\"wp-block-image size-full\"><img decoding=\"async\" src=\"https:\/\/support.serviceprotokoll.se\/wp-content\/uploads\/2025\/07\/PS_EN_symbols_servicepoints_with_remark.png\" alt=\"\" class=\"wp-image-23683\"\/><\/figure>\n\n<h5 class=\"wp-block-heading\" id=\"serviceobjekt\">Service object<\/h5>\n\n<p>Enter the operating time, if applicable for the service object. \u201cGrayed out\u201d, you see the operating time that the system has calculated based on the previous service and the set service intervals on the service object. Operating time for the next service is calculated automatically and transferred to the next service order.<\/p>\n\n<h5 class=\"wp-block-heading\" id=\"nasta-serviceintervall\">Next service interval<\/h5>\n\n<p>Here you see which service interval exists for the service object.<\/p>\n\n<figure class=\"wp-block-image size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"1024\" height=\"313\" src=\"https:\/\/support.serviceprotokoll.se\/wp-content\/uploads\/2025\/04\/PS_SOP_next_service_artiklar.png\" alt=\"\" class=\"wp-image-9153\"\/><\/figure>\n\n<p>Click on the blue symbol on the right and you will see which articles are required for the service. If there are several service intervals, you can see articles for each individual service.<\/p>\n\n<h5 class=\"wp-block-heading\" id=\"qr-symbolen\">The QR symbol<\/h5>\n\n<p>If you scan a QR code on an object<strong> before<\/strong> clicking\u00a0<em>Perform service<\/em>\u00a0on an order, the code leads directly to the information about the service object.<\/p>\n\n<p>If you use\u00a0<strong>QR verification<\/strong>, you scan the code on the service object when you do the service. When you read the QR symbol, with your mobile phone\u2019s camera, the dot changes from red to green.<\/p>\n\n<p>If you would like to change back, if for example you did not have time for the service for some reason, you can click on the QR symbol and choose to remove the validation.<\/p>\n\n<h5 class=\"wp-block-heading\" id=\"material-arbete\">Time<\/h5>\n\n<p>Here you enter the time worked. Time items are displayed in the list.<\/p>\n\n<p>In the heading \u201cTime\u201d you see which object applies.<\/p>\n\n<h5 class=\"wp-block-heading\" id=\"material-arbete\">Parts<\/h5>\n\n<p>Here you add material connected to the service object. If you see the symbol for layer, you can indicate from which layer you pick the material..<\/p>\n\n<p>If there are parts on the object record and the service has been generated by the system, these parts have been added automatically.<\/p>\n\n<p>In the heading \u201cParts\u201d, you see which object applies.<\/p>\n\n<h5 class=\"wp-block-heading\" id=\"totalt-pris\">TOTAL PRICE *<\/h5>\n\n<p>Click in the box under TOTAL PRICE and a field will open where you can enter more information about the price.<\/p>\n\n<p>Prices are retrieved from the item register, or you can enter the price yourself. If agreements, customer items or discount letters are linked, the price is automatically adjusted accordingly. The system searches for information in that order: agreements, customer articles and lastly discount letters.<\/p>\n\n<p><em><strong>Permissions for users concerning price<\/strong>: View net pricing,\u00a0View\u00a0gross pricing and\u00a0View\u00a0discount.<\/em><\/p>\n\n<figure class=\"wp-block-image size-full\"><img decoding=\"async\" src=\"https:\/\/support.serviceprotokoll.se\/wp-content\/uploads\/2025\/04\/PS_EN_SOP_articles_price-1.png\" alt=\"\" class=\"wp-image-9155\"\/><figcaption class=\"wp-element-caption\">TB = T\u00e4ckningsbidrag.<\/figcaption><\/figure>\n\n<h5 class=\"wp-block-heading\" id=\"kommentarer-ang-serviceobjektet\">Comments regarding the service object<\/h5>\n\n<p>Here you can comment on the service object and you will see any comments from the previous service protocol.<\/p>\n\n<h5 class=\"wp-block-heading\" id=\"ovrigt-material\">Other material<\/h5>\n\n<p>Here you can enter articles that you do not want to link to the service object or the assignment.<\/p>\n\n<p>If you have entered articles here but want the article to be included in the service object\u2019s articles instead, click on the green arrow and the article will be moved to Parts \/ Time.<\/p>\n\n<h5 class=\"wp-block-heading\" id=\"kommentarer\">Comments on the service performed<\/h5>\n\n<p>Comments about the service performed are posted here and automatically transferred to the next service if you have selected that setting (see Information for administrators). For example, about something that should be checked next time. The technician who will perform the next service will then see your comment. These comments are not displayed to the customer.\u00a0<strong>Keep in mind<\/strong>\u00a0that previous comments may need to be cleared from the protocol so only current comments are included in the next service.<\/p>\n\n<p><\/p>\n\n<h4 class=\"wp-block-heading\">Save, Set ready, Sign and Send the protocol<\/h4>\n\n<p>If you are not finished with the protocol, you can choose to <strong>Save changes<\/strong> until you can continue.<\/p>\n\n<p>If you have missed entering the runtime, that field is marked in red and the protocol cannot be saved until you have filled in the time.<\/p>\n\n<p>If you have missed filling in a value at a service component, you can save the protocol but not sign it before the value is filled in.<\/p>\n\n<p>When the service is completed, click Sign and sign the protocol. A protocol is created that you can send via e-mail or print as a pdf. Click Yes in the popup asking if protocol shall be sent. <a class=\"heroickb_exit_link\" href=\"?hkb-redirect&#038;nonce=dcd024e41a&#038;check=5q76u&#038;redirect=https%3A%2F%2Fsupport.serviceprotokoll.se%2Fen%2Fkb%2Fcreating-a-service-protocol%2F%23email-the-service-protocol&#038;otype=unknown&#038;oid=0&#038;source=block-content\">Read more about sending protocols.<\/a><\/p>\n\n<h6 class=\"wp-block-heading\">See the button Set Ready?<\/h6>\n\n<ol class=\"wp-block-list\">\n<li>Click Set ready<\/li>\n\n\n\n<li>The signing box opens and you sign your work.<\/li>\n<\/ol>\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/support.serviceprotokoll.se\/wp-content\/uploads\/2025\/05\/PS_EN_protocol_Setready.png\" alt=\"\" class=\"wp-image-22237\"\/><\/figure>\n\n<p>Under <strong>Assigned<\/strong>, you will now see a mark (a green checkmark) indicating that you have completed your part of the work.<\/p>\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/support.serviceprotokoll.se\/wp-content\/uploads\/2025\/05\/PS_EN_SP_assigned_ready.png\" alt=\"\" class=\"wp-image-22235\"\/><\/figure>\n\n<h6 class=\"wp-block-heading\">Do you see the Sign button?<\/h6>\n\n<p>Always <strong>start<\/strong> by marking the order as ready if that button is available. If you are the last person to mark the order as complete, you should also sign the entire order.<\/p>\n\n<h4 class=\"wp-block-heading\">Comments<\/h4>\n\n<p>You can add comments to a service order. The comments can be changed or deleted, displayed to the customer or only internally.
