Click on the <em>+symbol.<\/em><\/li>\n\n\n\n<li>from a <strong>customer<\/strong> in the Customer register<\/li>\n\n\n\n<li>via the <strong>agreement<\/strong> with the customer<\/li>\n<\/ul>\n\n<figure class=\"wp-block-image size-full\"><a href=\"https:\/\/support.serviceprotokoll.se\/wp-content\/uploads\/2025\/12\/PS_EN_Agreement_orderlist_new.png\"><img decoding=\"async\" src=\"https:\/\/support.serviceprotokoll.se\/wp-content\/uploads\/2025\/12\/PS_EN_Agreement_orderlist_new.png\" alt=\"\" class=\"wp-image-22124\"\/><\/a><figcaption class=\"wp-element-caption\">Image 1. Do this:<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Click on the right part of the symbol (image 4: view setting).<\/li>\n\n\n\n<li>Click on the small plus sign (image 5) to the right above the list.<\/li>\n\n\n\n<li>Select categories to be visible.<\/li>\n<\/ol>\n<\/div>\n<\/div>\n\n<p>If you want to change the order, drag the categories to where you want them.<\/p>\n\n<p>If you want to <strong>remove<\/strong> a category, drag the category to the + sign (the same one you clicked to add) and drop the category there.<\/p>\n\n<p><\/p>\n\n<h4 class=\"wp-block-heading\">The different fields on a sales order.<\/h4>\n\n<h5 class=\"wp-block-heading\">Subgroup<\/h5>\n\n<p>If you use the subgroups function, you select which subgroup to link to the sales order.<\/p>\n\n<p>If you have added custom fields for a subgroup, those fields will automatically be added to the sales order.<\/p>\n\n<h5 class=\"wp-block-heading\">Customer<\/h5>\n\n<p>A customer must be specified. You can search for or add customers in several ways:<\/p>\n\n<ul class=\"wp-block-list\">\n<li>Place the cursor in the Customer field and start typing to list existing customers.<\/li>\n\n\n\n<li>The search function (click on the magnifying glass) helps you find the right (existing) customer.<\/li>\n<\/ul>\n\n<p><strong>Is the customer not in the list?<\/strong> Do this:<\/p>\n\n<ul class=\"wp-block-list\">\n<li>Enter the customer&#8217;s name in the field. You will then be asked if you want to add the customer. If you answer yes, a popup will open where you can fill in the customer&#8217;s details.<\/li>\n\n\n\n<li>Click +<em>Create\u00a0customer<\/em> under the customer field. A pop-up will open and you can fill in the customer details.<\/li>\n<\/ul>\n\n<p>The customer is saved in the Customer Register.<\/p>\n\n<h5 class=\"wp-block-heading\">Invoiced another customer<\/h5>\n\n<p>The field is enabled in Sales Order Settings. Requires admin permissions. <a class=\"heroickb_exit_link\" href=\"?hkb-redirect&#038;nonce=c1c7dc7eec&#038;check=1m4ro&#038;redirect=https%3A%2F%2Fsupport.serviceprotokoll.se%2Fen%2Fkb%2Finvoiced-to%2F&#038;otype=unknown&#038;oid=0&#038;source=block-content\" data-type=\"ht_kb\" data-id=\"19290\">Learn more about invoicing another customer here.<\/a><\/p>\n\n<h5 class=\"wp-block-heading\">Facility<\/h5>\n\n<p>Place the cursor in the Facility field and existing facilities for the selected customer will be listed. If you have not selected a customer, all entered facilities will be listed. When you have selected a facility, the system will fill in the customer&#8217;s name.<\/p>\n\n<p><strong>Is the facility not listed?<\/strong> Do this:<\/p>\n\n<ul class=\"wp-block-list\">\n<li>Option 1: Enter the name of the facility in the field and click the blue + symbol. You will be asked if you want to add the facility. If you answer yes, a popup will open where you can fill in information about the facility.<\/li>\n\n\n\n<li>Option 2: Click <em>+Create Facility<\/em> under the facility field. A pop-up will open and you can fill in the facility details.<\/li>\n<\/ul>\n\n<p>For both options, you can click MORE to open a new window where you can fill in more information about the facility. The facility is saved in the <em>Facility Register.<\/em><\/p>\n\n<h5 class=\"wp-block-heading\">Service object<\/h5>\n\n<p>Service objects entered for the customer in the customer register will appear when you place the cursor in the box.<\/p>\n\n<p>If the service object is not in the list, you can add it by clicking <em>+ Add a new service object.<\/em><\/p>\n\n<h5 class=\"wp-block-heading\">Seller<\/h5>\n\n<p>Select a name from the list if you want to assign the order to an employee (referred to as the <strong>salesperson<\/strong> on the order). Everyone in your group is included in the list. After the name of the salesperson, the origin of the sales order is indicated, e.g. an Agreement.<\/p>\n\n<h5 class=\"wp-block-heading\">Custom fields<\/h5>\n\n<p>If you have created custom fields, they will be displayed here.<br\/>Custom fields are created in <em>Group Settings &#8211; Sales Order Settings<\/em>. Custom statuses can be changed without opening the order.<\/p>\n\n<p><a class=\"heroickb_exit_link\" href=\"?hkb-redirect&#038;nonce=c1c7dc7eec&#038;check=jiokg&#038;redirect=https%3A%2F%2Fsupport.serviceprotokoll.se%2Fen%2Fkb%2Fstatus%2F%23egen-status&#038;otype=unknown&#038;oid=0&#038;source=block-content\">Learn more about creating custom status.<\/a><\/p>\n\n<h5 class=\"wp-block-heading\">Person of contact<\/h5>\n\n<p>Here you can either search for contact persons\/orderers for the customer\/facility or add a new contact person\/orderer. The information is saved* so you can quickly search for it next time.<\/p>\n\n<p>*Only applies if you have the <em>work order setting<\/em> &#8220;Save contact person on facility and customer cards&#8221;. This setting is the default.<\/p>\n\n<h5 class=\"wp-block-heading\">Status<\/h5>\n\n<p id=\"Status\">Status is displayed in the list of sales orders. Status can be created in several different ways.<br\/>See image 3.<\/p>\n\n<ul class=\"wp-block-list\">\n<li>If you do <strong>not<\/strong> enter anything here, the system automatically selects status = <em>Received<\/em> when you create a new sales order. When you then click <em>Ready for Invoice<\/em> and <em>Invoiced<\/em>, the status also changes.<\/li>\n\n\n\n<li>You can enter any other expression for status. Your custom expression <strong>will remain<\/strong> even if you have clicked on <em>Ready for invoicing<\/em> and <em>Mark as invoiced<\/em>. In image 3 we have specified a custom status as &#8220;My own status&#8221;<\/li>\n\n\n\n<li>If you create a sales order via Agreement, the name of the agreement and the current agreement period will be visible as the status. Example: <em>Service Agreement: 2024-08-04 &#8211; 2025-08-04<\/em><\/li>\n\n\n\n<li>If you create a sales order via <em>Quote<\/em>, the status is <em>Received.<\/em><br\/><br\/>Changed Aug 13 2025. All previous orders have be changed to this now setting.<\/li>\n<\/ul>\n\n<p>If you want to change the set status, click <em>Edit<\/em> on the order. If you want to use the system&#8217;s expression, delete all text in the Status field at the latest before you choose to mark as invoiced.<\/p>\n\n<p>The system sorts the sales order as invoiced, i.e. the order is placed last in the list of SA:s, regardless of the expression entered under Status when you click <em>Mark as Invoiced.<\/em><\/p>\n\n<h5 class=\"wp-block-heading\">Cost center<\/h5>\n\n<p>If additional information regarding the cost center needs to be included on the invoice, it can be entered here.<\/p>\n\n<h5 class=\"wp-block-heading\">Customer order number<\/h5>\n\n<p>Here you enter the customer&#8217;s order number, if applicable.<\/p>\n\n<h5 class=\"wp-block-heading\">Delivery date<\/h5>\n\n<p>If necessary, fill in the delivery date. If there is no delivery date on the order, the order will be sorted by the date the order was created.<\/p>\n\n<h5 class=\"wp-block-heading\">Comment field<\/h5>\n\n<p>Choose whether comments here should be shown to the customer or not. By default, <em>Internal comment<\/em> is checked.<\/p>\n\n<p>If the sales order was generated from a <strong>quote<\/strong>, the quote descriptions are available as comments. There may be multiple comments depending on whether the quote contains a description of the quote content and a description under the service object that is on the quote.<\/p>\n\n<h5 class=\"wp-block-heading\">Articles<\/h5>\n\n<p>Here you add articles. Search among Latest articles or in the Article Register.<\/p>\n\n<p>The Delivered Quantity field is set to 0 if you do not enter anything there. Only when the Delivered Quantity field is filled with a quantity does the Ready for invoicing button appear. See also <a href=\"#dellev\" data-type=\"internal\" data-id=\"#dellev\">information about partial delivery<\/a><\/p>\n\n<p>If there are sub-articles on the articles, they are not displayed to the customer here.<\/p>\n\n<div class=\"wp-block-columns is-layout-flex wp-container-core-columns-is-layout-28f84493 wp-block-columns-is-layout-flex\">\n<div class=\"wp-block-column is-layout-flow wp-block-column-is-layout-flow\" style=\"flex-basis:33.33%\">\n<figure class=\"wp-block-image size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"75\" height=\"75\" src=\"https:\/\/support.serviceprotokoll.se\/wp-content\/uploads\/2023\/03\/Symbol_kundvagn75q.png\" alt=\"\" class=\"wp-image-9883\" srcset=\"https:\/\/support.serviceprotokoll.se\/wp-content\/uploads\/2023\/03\/Symbol_kundvagn75q.png 75w, https:\/\/support.serviceprotokoll.se\/wp-content\/uploads\/2023\/03\/Symbol_kundvagn75q-50x50.png 50w, https:\/\/support.serviceprotokoll.se\/wp-content\/uploads\/2023\/03\/Symbol_kundvagn75q-60x60.png 60w\" sizes=\"auto, (max-width: 75px) 100vw, 75px\" \/><\/figure>\n<\/div>\n\n\n\n<div class=\"wp-block-column is-layout-flow wp-block-column-is-layout-flow\" style=\"flex-basis:66.66%\">\n<p>If you want to create a <strong>Purchase Order<\/strong> for the articles, click on the shopping cart above the articles, select which articles should be added to the purchase order and click <strong>Create new<\/strong>.<\/p>\n<\/div>\n<\/div>\n\n<h5 class=\"wp-block-heading\">Save<\/h5>\n\n<h4 class=\"wp-block-heading\">Once saved, the following information is also displayed:<\/h4>\n\n<h5 class=\"wp-block-heading\">Integration reference<\/h5>\n\n<p>When the order is sent to the accounting program and the accounting program supports this, you will see the reference number here.<\/p>\n\n<h5 class=\"wp-block-heading\"><strong>Agreements<\/strong>:<\/h5>\n\n<p>Specifies from which Agreement (name of the agreement) the order is created.<\/p>\n\n<h5 class=\"wp-block-heading\">Created by:<\/h5>\n\n<p>Indicates when the order was created and from which agreement.<\/p>\n\n<h5 class=\"wp-block-heading\">Last edit:<\/h5>\n\n<p>Lists who made changes to the order and when.<br\/>CONDITIONS: That you have selected <em>Work Order Settings &#8211; Show last edit.<\/em><\/p>\n\n<h5 class=\"wp-block-heading\">Fault report:<\/h5>\n\n<p>If the order is generated from an Fault Report, it is indicated here.<\/p>\n\n<h5 class=\"wp-block-heading\">Sent e-mail:<\/h5>\n\n<p>This lists who sent it, when and to which email.<\/p>\n\n<h4 class=\"wp-block-heading\">When you have saved the order and the delivery quantity is filled in, you can choose to:<\/h4>\n\n<ul class=\"wp-block-list\">\n<li>Ask the customer to sign the order (signatur is activated in the<em> Sales order settings<\/em>)<\/li>\n\n\n\n<li>Edit<\/li>\n\n\n\n<li>Mark as <em>Ready\u00a0for invoicing<\/em><\/li>\n\n\n\n<li>I steg 2, dvs n\u00e4r du valt&nbsp;<em>Klar f\u00f6r fakturering&nbsp;<\/em>kommer f\u00f6ljande val upp:\n<ul class=\"wp-block-list\">\n<li><em>Mark as invoiced<\/em><\/li>\n\n\n\n<li><em>Generate restorder<\/em>. You must have permission to create sales orders.<\/li>\n\n\n\n<li><em>Send order<\/em> (if you have an accounting program connected to the system).<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n\n<h6 class=\"wp-block-heading\">You can also (if you have those permissions):<\/h6>\n\n<ul class=\"wp-block-list\">\n<li>Edit<\/li>\n\n\n\n<li>Email order confirmation or send invoice<\/li>\n\n\n\n<li>Print the order (Default) or delivery note. Prices are not printed on the delivery note.<\/li>\n\n\n\n<li>Assign the order to a technician\/employee<\/li>\n\n\n\n<li>Upload documents<\/li>\n\n\n\n<li>Generate invoice as pdf. Applies to groups that do not have integration with business (accounting) system.<\/li>\n<\/ul>\n\n<h5 class=\"wp-block-heading\">History<\/h5>\n\n<p>See activities on the Sales order<\/p>\n\n<h4 class=\"wp-block-heading\">Information to admins<\/h4>\n\n<h5 class=\"wp-block-heading\">Partial delivery?<\/h5>\n\n<p id=\"dellev\">Have you made a partial delivery? Click <em>Edit<\/em> and fill in the quantity in the <strong>Delivery quantity<\/strong> field. Don&#8217;t forget to save the change.<\/p>\n\n<p>Admin permissions are required to add partial deliveries.<\/p>\n\n<h4 class=\"wp-block-heading\">Concerning Sales order and Fortnox<\/h4>\n\n<p>When you create a sales order from an agreement and want to invoice it in Fortnox, you need to have activated &#8220;Periodization&#8221; in Fortnox for this to work.
