The customer must be specified to link facilities and also to know where the joint invoice should go. The customer is filled in automatically if you went through the customer register.<\/p>\n\n<p><strong>Cost center<\/strong>*<br\/>The information is added to orders.<\/p>\n\n<p><strong>Customer order number<\/strong>**<br\/>The information is added to orders.<\/p>\n\n<p><strong>Custom field<\/strong><br\/>Custom fields are fields you can create by yourself based on your needs. <a class=\"heroickb_exit_link\" href=\"?hkb-redirect&#038;nonce=1668d1b738&#038;check=74r0m&#038;redirect=https%3A%2F%2Fsupport.serviceprotokoll.se%2Fen%2Fkb%2Fcreate-custom-fields%2F&#038;otype=unknown&#038;oid=0&#038;source=block-content\" data-type=\"ht_kb\" data-id=\"9371\">Learn how to create custom fields here.<\/a><\/p>\n\n<p><strong>Address and map<\/strong><br\/>Fill in address. Under the map you find the link \u201cUpdate position from address\u201d. Can be used to locate or to distinguish between two similar facilities.<\/p>\n\n<p><strong>Person of contact<\/strong><br\/>The customer can have\u00a0<strong>several contacts<\/strong>\u00a0and these are added by pressing the\u00a0<em>+ Add contact<\/em>\u00a0button. When a contact person is added, the choice for\u00a0<strong>Send service protocol and\/or Send work order<\/strong>\u00a0can also be made. If these buttons are checked, service protocols and work orders are sent to the contact person\u2019s email address.<\/p>\n\n<p><strong>Service articles<\/strong><br\/>Specify items that should \/ can be used for the facility. These automatically appear as suggestions when services and work orders are executed at the facility. For example. some facilities may have fixed costs for mileage compensation. Then they can be entered here as articles.<br\/>To add more, click\u00a0<em>+ Add Articles<\/em>.<\/p>\n\n<p>When you create an order at the facility, you will be asked whether the articles should be added.<\/p>\n\n<p><strong>Work Order Articles<\/strong><br\/>Specify articles for the customer, which will automatically appear as suggestions when services and work orders are performed on the customer. For example, some customers may have fixed costs for service, then they can be entered as items here, so the technician does not have to keep track of which customer has which agreement.<br\/>To add more, click + Add articles.<\/p>\n\n<p>When you create an order at the facility, you will be asked whether the articles should be added.<\/p>\n\n<p>When you create an order at the facility, you will be asked whether the articles should be added.<\/p>\n\n<h5 class=\"wp-block-heading\">Register which customers can be invoiced<\/h5>\n\n<p>Under the &#8220;Can be invoiced to&#8221; field, you can list which customers the facility can be invoiced to. When you then create an order and specify another customer to be invoiced to, only these customers will be displayed and there is less risk of you selecting the wrong customer.<\/p>\n\n<h5 class=\"wp-block-heading\">Service<\/h5>\n\n<p><h5 id=\"service-collision-time-span\" class=\"wp-block-heading\">SERVICE COLLISION TIME SPAN<\/h5><br\/>Indicates how many days the service time on the service object in the facility may vary.<\/p>\n\n<p>Service objects located in the same facility can be merged into a service order using the service collision time span. This time span sets how many days it may vary between service orders for them to be merged into one. If you answer no, each service will remain a separate order. If you answer yes, the service object will be combined into one order.<\/p>\n<\/div>\n<\/div>\n\n<p><strong>Change service collision time span?<\/strong><\/p>\n\n<p>When this value changes, services that have already been generated will not be affected, only new and changed services will be merged.<\/p>\n\n<p>If you want to change the default service collision time span on several facilities at the same time, click on the collection function symbol in the facility register. <a class=\"heroickb_exit_link\" href=\"?hkb-redirect&#038;nonce=1668d1b738&#038;check=5mo9f&#038;redirect=https%3A%2F%2Fsupport.serviceprotokoll.se%2Fen%2Fknowledge-base%2Fcollection-functions%2F&#038;otype=unknown&#038;oid=0&#038;source=block-content\" data-type=\"ht_kb\" data-id=\"10804\">Read more about how to do it here.<\/a><\/p>\n\n<p><strong>SERVICE COMPONENTS<\/strong><br\/>Service points you add here appear on Service Orders. The service points can be things that must be fixed at the facility during a service, e.g. checking ventilation, ambient temperature, locks, etc.<\/p>\n\n<p>Use, with advantage, a template. Not displayed for signed in customer.<\/p>\n\n<h4 class=\"wp-block-heading\" id=\"samlingssymbolen\">Update the position of multiple facilities via the collection function<\/h4>\n\n<h5 class=\"wp-block-heading\" id=\"gor-sa-har-for-att-uppdatera-position\">Do this:<\/h5>\n\n<ol class=\"wp-block-list\">\n<li>Click on the collection icon.<\/li>\n\n\n\n<li>Click <strong>+ Collection function<\/strong> to open the map.<\/li>\n\n\n\n<li>Select all facilities you wish to update by clicking <em>Yes<\/em> after any facility under the <em>Has Address <\/em>heading will be selected or mark all that have\u00a0<em>No<\/em>\u00a0under\u00a0<em>Have place<\/em>.<\/li>\n\n\n\n<li>Then click on the text\u00a0<em>Update position from address<\/em>\u00a0on the left below the map. Now the system will search for those who have an address but not a position and mark these.<\/li>\n\n\n\n<li>Click Save (to the right under the map). Done!<\/li>\n<\/ol>\n\n<h4 class=\"wp-block-heading\">History<\/h4>\n\n<p>Under history, you see changes made to the facility. The feature was added in Aug 2024 and does not list changes before then.<\/p>\n\n<h4 class=\"wp-block-heading\">Assign<\/h4>\n\n<p>The facility can be assigned to a technician. The technician will then always be assigned fault reports at the facility. Notification that an error report has been received is sent to the assignee if he has selected under his <em>Account Settings<\/em> \u2013 Setting \u201cSend e-mail on notification\u201d.<\/p>\n\n<h4 class=\"wp-block-heading\">Upload documents<\/h4>\n\n<p>Upload documents relating to the facility.<\/p>\n\n<h4 class=\"wp-block-heading\">Delete or Inactivate<\/h4>\n\n<p>To retain all history, it may be a good idea not to delete a facility that is no longer relevant but instead inactivate the facility.<\/p>\n\n<p>Click <em>Inactivate<\/em> at the bottom of the facility record. You can enter a reason for the inactivation. When a facility is inactivated, <strong>all service objects that were on the facility are also inactivated.<\/strong><\/p>\n\n<figure class=\"wp-block-image size-full\"><img decoding=\"async\" src=\"https:\/\/support.serviceprotokoll.se\/wp-content\/uploads\/2025\/06\/PS_EN_popup_inactivate.png\" alt=\"\" class=\"wp-image-23358\"\/><\/figure>\n\n<p>To inactivate, you must have the permission to <em>Edit<\/em> on the facility.<\/p>\n\n<p>Should you need to activate the facility again, the <strong>Activate<\/strong> button is located at the bottom of the facility record.<\/p>\n\n<p>Note that the service objects on the facility will not be reactivated as a service object may be inactivated for reasons other than you inactivating the facility. You can see this by the service object having its own inactivation reason and a date specified in the <em>Inactivation date field.<\/em><\/p>\n\n<p>You therefore need check all service objects on the facility and activate those that need to be activated.<\/p>\n\n<figure class=\"wp-block-image size-full\"><img decoding=\"async\" src=\"https:\/\/support.serviceprotokoll.se\/wp-content\/uploads\/2026\/02\/PS_service_object_inactivated.png\" alt=\"\" class=\"wp-image-26777\"\/><figcaption class=\"wp-element-caption\">This is what a service object that has been inactivated looks like when you inactivated the facility. The text The facility is inactivated and without a inactivation date.<\/figcaption><\/figure>\n\n<p>If you click <strong>Delete<\/strong>, you will receive a warning and must click Yes to proceed with the deletion. The facility will then be deleted. The deletion cannot be undone and is permanent. You can change the number of days at the facility if the default interval does not fit.<\/p>\n\n<p>The date for when a service must be performed is automatically calculated by the system when you choose to generate a service, as well as when you perform a service and a service protocol has been created.<br\/><br\/>However, the date can be changed manually. When the date changes, the system will check if the service is close in time to other service occasions at the same facility and can thus merge services that fall close to each other.<\/p>\n\n<h5 class=\"wp-block-heading\">Group settings<\/h5>\n\n<ul class=\"wp-block-list\">\n<li>Invoiced to enabled<br\/>Specify whether the facility is to be invoiced to another customer<\/li>\n<\/ul>\n\n<h5 class=\"wp-block-heading\"><strong>View settings<\/strong><\/h5>\n\n<ul class=\"wp-block-list\">\n<li>Show service articles<br\/>Creates a field where you can enter service order articles to be used for this particular facility.<\/li>\n\n\n\n<li>Show work order articles<br\/>Creates a field where you can enter work order articles to be used for this particular facility.<\/li>\n\n\n\n<li>Show the facility service points<br\/>Adds the ability to add service points for the facility itself.<\/li>\n\n\n\n<li>Hide facility in order lists<br\/>With this setting, the facility name is not displayed in lists with the detail view selected, only the customer.<\/li>\n\n\n\n<li>Ask facility location when performing orders<br\/>If this is marked, the system asks if you want to update the address for the facility if there is no address marked on the map.<\/li>\n<\/ul>\n\n<h5 class=\"wp-block-heading\">Regarding the customer\u2019s order number and cost center<\/h5>\n\n<p>*To activate the <strong>Cost Center<\/strong> field, you must have selected &#8220;Show cost centers&#8221; in Customer settings.<\/p>\n\n<p>**To activate the <strong>Customer&#8217;s order number<\/strong> you must have selected &#8220;Show order numbers (also applies to orders)&#8221; in Customer settings<em>.<\/em><\/p>\n\n<p><strong>User permissions concerning facility<em>\u00a0<\/em><\/strong><\/p>\n\n<p><em>View, View Assigned, Create, Edit, Edit Assigned, Delete, Upload, Assign, Remove uploaded files<\/em><\/p>\n\n<p>To be able to <em>Inactivate <\/em>a facility<em> Edit <\/em>permission on Facility is required.<\/p>\n","protected":false},"excerpt":{"rendered":"<p>Facilities are usually specified as a physical location, but it can also be fictitious, this to create a service order that contains all objects that are to be performed simultaneously in the facility.
