When you want to hire colleagues or subcontractors who will carry out the work for your company, but at the same time have all documentation available in serviceprotocol.com, you can connect them as an external resource.
An external resource only sees the information you have assigned to the resource, normally the assigned work orders, information about the customer and the facility.
An external resource cannot create its own orders.
Cost
The cost for one (1) external resource license is 25 €/month. By adding an external resource, you agree to the increased monthly charge.
Add a new external resource like this:
Adding an external resource requires admin permission.
- Go to Group Settings, click Add New External Resource (at the bottom of the page).
- Enter a username for the resource. The username should be a valid email address.
- Read and accept the user license.
- Click Add New User. The external resource will receive an email with the login details. See image below.
- Now you can set which permissions the user/resource should have in the system. Permissions that are not relevant for an external resource are grayed out and therefore not selectable.
If you have many external resources, you can create a template for the settings. Read more about permission templates, at the bottom of the page Creating and using templates. - Save the changes
Inactivate/activate
You can see which external resources you have added under Group settings > Users. A external resource is marked with the word (external) after the user. Example: name.name @ oo-software.com (external)
If you want to inactivate an external resource, click on the username and select Inactivate. By inactivating the license for the external resource, instead of deleting it, you keep all documentation of work performed.
You can see which inactive external resources you have at the bottom under Group settings> Inactive. We do not charge for a inactive account.
If you want to activate the account again, click on the username and select Activate
