How to import service objects from Excel

This documentation describes how to import service objects into the system using an Excel file. For it to go smoothly, it is important that the Excel file is correctly formatted and contains the necessary information.

Tip

  • Back up existing data before doing an import. You do this via the Export register link or through the Export button under the various registers (customer, object, articles, etc.)
  • Test with a smaller number of lines first to see that you created the file correctly.

Preparation of the Excel file

General structure

  • Header row: The first row should contain column headings that identify what data is in each column.
  • Data: After the header line, there are lines of data for each service object to be imported.

Column headings and accepted names

The table below lists all possible fields that can be included, along with accepted column headings. The headings are not case sensitive and can be in Swedish or English.

Mandatory fields

At least one of the following fields must be specified for each service object:

If none of these fields are filled for a row, that row will be ignored during import.

Custom field

Do you have custom fields that you want include in the import?

Create these fields in Service object settings and Facility settings respectively first. HERE you can learn how to create custom fields.

  • Regarding the service object’s self-created field: Columns must have the same heading as the field you created. The title must be unique, i.e. not in the list above.
  • Regarding the facility’s own fields: The column header must begin with facility followed by the name of the field, e.g. facilityCustomField where “CustomField” is the name of the field you created.

Data format and values

  • Date field: Use the format YYYY-MM-DD or another valid date format.
  • Boolean fields: Use true/false, yes/no, or 1/0.
  • Numeric fields: Numbers only, no special characters or letters.
  • Counters: If multiple counters are specified, separate them with a semicolon ;, e.g. Counter1; Counter2.

Step-by-step import guide

  1. Create or update the Excel file according to the above guidelines.
  2. Check the column headers to match the accepted headers.
  3. Fill in the necessary data for each service object. Remember that at least one of the required fields must be entered.
  4. Save the Excel file in a compatible format, e.g. .xlsx.
  5. Go to the Group Settings page. Scroll to the bottom and click the Upload Register link.
  6. Start the import process by clicking on choose file and locate the prepared Excel file on your computer.
  7. The upload starts immediately. You do not have to wait for the process to complete but can move on to another function/page.
  8. When the upload is complete, the number of rows imported is displayed. If it says, for example, 25 out of 26, a row/item could not be uploaded.

Why wasn’t certain objects uploaded?

  • Usual misstakes:
    • Missing mandatory fields.
    • Incorrect data format (eg invalid dates or numeric values).
    • Typos in column headings that make the field unrecognizable.

FAQ

Question: Can I use custom column headings that are not listed?

Answer: Yes, columns that do not match the predefined fields will be interpreted as custom fields of the service object. If the header starts with facility, it is interpreted as a custom field for the facility.


Question: What happens if I leave optional fields blank?

Answer: Optional fields can be left blank and will not affect the import of the required fields.


Question: How are date formats handled during import?

Answer: The system tries to interpret dates according to standard formats. If the date cannot be interpreted correctly, it can lead to errors during the import. Please use the format YYYY-MM-DD.
