Here we have gathered information about signing. At the bottom there is information about settings regarding signing for administrators.

If you have the permission to sign an order, you will see the Sign button at the bottom of an order or a completed service report. A popup will open where you sign. Your name is already filled out. If you are not satisfied, click Clear and redo the signature.

If you have the setting that a customer should also sign the order, you sign first and then hand over your device to the customer who signs.

Clear signature

If you want to delete or change an article after you have signed, click on the image of the signature to the right of the article. A popup will appear. Click Clear Signature.

Click on the signature after the article you want to remove or adjust.
A pop-up will open. Click Clear Signature.

Clear all signatures

If you need to clear all signatures on the order, click the Clear signatures button at the bottom of the order.

Click Clear Signatures to remove everyone’s signatures.

In some situations, you may need to clear the signature on the article line and click Clear All.

Notes: The customer’s signature is never cleared. If the customer needs to sign again, the customer writes another signature.

This is how you as a technician do it to Set ready on your part

This is a permission. If you do not see the Set Ready button, you do not have the option to sign your part.

You need to be assigned the order that you are going to set clear. You can assign the order to yourself. If you do not have that permission, a supervisor needs to do it.

When you’re done with your part, click Set ready. The signature box opens and you fill in your signature.

Notice that you must click on Set ready first, then you sign the order. If you are the last technician to set ready or are alone working on the order, the entire order is signed and it can be set to Ready for invoicing

Here has a colleague already marked clear with his signature. You click on Set ready.

Under Assigned in the upper right column, all are marked as clear with a green tick.

Save your signature

Tired of writing the signature? Save your signature in your account settings and it will be added automatically when you click Sign.

Do this:

  1. Click on your username. On a computer, you’ll find it at the top right. In mobile at the bottom of the menu.
  2. Click Create a signature. The usual signature box opens.
  3. Write your signature.
  4. Save

If you are not satisfied, just redo it. If you cancel the function, click on Clear signature.

Information for administrators regarding settings

User settings – Sign

(Requires admin permission)

If a technician is to be able to sign his orders, the user permission to sign is required.

  • Go to Group settings
  • Click on a username that should have the permission to sign.
  • Choose Edit permissions
  • Under Work order and/or Service protocol, select “Sign”.
  • The user now sees a new button on orders labeled Sign.

You can find the permission to remove (clear) signatures under the heading Other. The setting gives the user the permission to clear signatures everywhere in the system.

Should everyone who works on an order be able to set clear on their part of the work?

The function is available on Work orders. Development of the same function on Service order is underway.

Conditions: The technician must be assigned to the order.

Do this to set permissions: (requires admin permission)

  • Go to Group settings
  • Click on a user to give permissions
  • Choose Edit permissions
  • Under Work order, select “Set individual ready”.
  • Now the user will see a new button on the order – Set ready.

Use customer signature on Work orders and Service orders

(Requires admin permission)

Should the customer sign after the order has been executed?

To set up:

  • Go to Group settings – Module settings – Work order settings and Service protocol settings
  • Locate Signature Settings.
  • Select the desired settings.
Signature settings on work orders are slightly more than those on service records.

Settings for signature on printouts

In Work order settings – Print settings there is the setting:

  • Show signatures (on printouts)

Digital signing of quotation

This function allows you to send quotations by e-mail for signing digitally directly by the customer. The signing is done via an external encrypted service and each signing has a unique “key” that is saved on the quote. When the customer has approved and signed the quote, it is shown by the quote changing color to purple.
