As an administrator, you can add working hours, employment information and make settings where the employee is displayed, etc.

Click on a username and select Edit user settings.

Under the user settings, you enter an employee’s information such as:

  • START AND END TIME, BRAKE

    By entering the information here, you do not need to enter working hours when you book the user on an order or fill in working hours in the time report.
  • TIME REPORT DAYS UNTIL WARNING
    Displays a warning to the user if the number of days since their last time report exceeds this number. Leave empty to disable.
  • TIME REPORT DAYS UNTIL LOCKED
    Locks the user to the Time Report screen if the number of days since their last time report exceeds this number. The system looks for the number of consecutive days not reported. Leave empty to disable.
  • date for when warning/locking is to be calculated. If no date is specified, 30 days apply.
  • EMPLOYMENT NUMBER

    Required if you want to connect to payroll systems.
  • COLOR AT PLANNER

    The default color is blue. Give the user a unique color. The color is shown in Planner – Calendar and as a stripe in Resource so you can easily see who has an order booked on them.
    ATTENTION! If you use your own booking types or order types, there are settings that affect how the colors are displayed in the Planner.
  • whether the user should automatically assign himself newly created or changed orders.
  • SUBGROUP

    The subgroup automatically comes up when the technician creates an order. It is always possible to change subgroups on the order.
    If not using subgroups this option will not appear.
  • REMOVE FROM ASSIGN

    The user must not be able to be assigned orders and will then not appear when you select from the assigned list. The user is, for example, an administrator who should not be assigned orders.
  • REMOVE FROM TIME REPORT

    The user does not appear in the time report.
  • REMOVE FROM CHAT

    The user cannot then receive direct messages in the chat.
  • PHONE

    The number must be entered with a + and the country code and without the 0. +467xxxxxx

Warning/Locking of time reporting

Example – if you set the following:
Warning: 3 days
Locking: 5 days

If you have a warning set for 3 days, you will receive a warning after 3 days, i.e. the fourth day. If you do not report and mark as done, after 5 days, i.e. the sixth day, you will not be able to continue working before you reported your working hours.

Sat/Sun are not counted but holidays are counted.

The check is done 30 days back in time or, if you are a new employee, from the date specified in user settings.

PROFIT CENTER

If you have integration with accounting system such as Fortnox, you can enter the cost center for the user here.

In the settings for the integration with Fortnox, this also needs to be marked: Include the user’s cost center on row.
Then the cost center is added to the article lines on the order in Fortnox.

Preferences

These settings can be made by the user themselves, but in some cases it may be practical for an administrator to be able to change the settings.

Send email on notifications

Sends an email to the user’s email address when a new notification is created.
If the user is assigned an order or is assigned to a customer who files an fault report, an email is always sent.

Send SMS on notifications

Enter the user’s mobile number in the Phone field. The number must include the country code and a “+” in front. Then select Send SMS …
The user will receive an SMS confirming that notifications are enabled.
You can set which messages to send under Notifications.

Service reminder …

Activates a reminder in the form of a notification. It will appear one week before a scheduled and unscheduled service occurs. Service reminder can be received on assigned service orders or on all service orders.

Stale order reminder

This setting is not recommended to be activated on an multiple users, but rather select one of you who should receive these messages. Read more about this function in the article My account settings.

Multi factor authentication enabled

To increase security, you can choose to activate multi factor verification (two-factor authentication) for users. This will send the user a code via text message to their mobile phone every time they log in.

Time zon

Here you select the time zone setting for the user. The user can also change this setting themselves.

Notifications

You can also enter a phone number and set whether the user should receive reminders and notifications via SMS/or e-mail and which notifications should be sent.

This part can also be set by the user himself via his Account Settings. To access your account settings, click on your username.
