25-01-29 – New way of emailing protocol

Create your own templates for sending protocols and order confirmations on Work Orders and Service Protocols, order confirmations for Sales Orders and the Send email function for Purchase Orders and Quotations so you don’t have to fill in the “Subject” and “Message” fields every time you send an email.

The function adds a footer with your information and if you have added your logo in Group settings, it is sent along.

This is how an e-mail message with the protocol attached can look like with your own logo inserted and a footer.
Step 1 – Create templates

This step requires admin permission.

  • Go to Group settings – Modul settings
  • Click on Email settings
  • Click on + Add a new template
  • Fill in the subject and the message you want to send. The subject is what appears as the subject of the email. The message may contain code. You can have several different messages. Click + Add a new template to create more.
Step 2 – Sending
  • Select the order you want to send from.
  • Click on E-mail/SMS in the footer and select E-mail protocol or Email order confirmation. On a Purchase Order or Quotation, click Send e-mail.
  • If there is a contact person on the order, this is filled in automatically. Otherwise, enter an email address.
  • Place the cursor in the fields for SUBJECT and your template(s) will appear and can be selected. When you have selected your template, the message is filled in automatically. The message can be changed if necessary. Changes to a single mailing do not change your basic settings for your template.
Own template or standard pdf?

Choose if you want to send with the standard template that is in the system or if you want to send with your own templates.
